Job Overview: The Executive Assistant to the Managing Director for Sub-Saharan Africa plays a crucial role in providing high-quality secretarial and administrative support. This position involves a variety of tasks aimed at ensuring the smooth operation of the Managing Director's office. The Executive Assistant will be responsible for managing the Managing Director's diary, handling correspondence, and coordinating travel arrangements. Additionally, the role requires interaction with various departments within the bank and external clients, making it essential for the Executive Assistant to possess excellent communication and organizational skills. The position also includes responsibilities such as maintaining filing systems, preparing documents, and supporting visitors to the headquarters. Duties and Responsibilities: The Executive Assistant's duties include but are not limited to: managing the Managing Director's diary and scheduling appointments; screening and prioritizing emails and phone calls; drafting correspondence and taking minutes during meetings; coordinating travel arrangements in compliance with EBRD travel policies; maintaining comprehensive filing systems; liaising with committee secretariats for scheduling; preparing team-related documents such as presentations and reports; supporting visitors to the headquarters; and conducting ad-hoc tasks as assigned by the line manager. The Executive Assistant may also take on budget officer duties, ensuring adherence to budgetary functions and departmental procedures. Organizing departmental events and preparing background materials for senior-level meetings are also key responsibilities.
Required Qualifications: Candidates must possess a degree or equivalent relevant business experience. A recognized secretarial qualification is advantageous but not mandatory. Fluency in English, both written and spoken, is essential, and knowledge of an additional language, such as French, is desirable. Candidates should demonstrate excellent organizational skills, the ability to prioritize tasks, and effective communication skills.
