Job Overview: The Conference Coordinator will serve as the primary point of contact between UN Women and the Institute for Human, Family and Gender Study (IHFGS) in Vietnam. This role is crucial for the successful organization of the launch of the Viet Nam Country Gender Equality Profile (CGEP) 202
The coordinator will provide administrative, organizational, and logistical support throughout the planning and execution of the event. This includes coordinating with various stakeholders, managing event logistics, and ensuring that all necessary approvals are obtained in a timely manner. The coordinator will work closely with UN Women’s Programme Management Specialist and other team members to ensure that the launch event meets the expectations of all parties involved and adheres to the required standards.
Duties and Responsibilities: The Conference Coordinator will be responsible for a range of tasks including:
Participating in inception meetings to confirm event objectives, format, and logistics.
Preparing detailed work plans, event checklists, and timelines.
Serving as the liaison between UN Women and IHFGS, clarifying government requirements and managing the approval process for the event.
Supporting the refinement of the event agenda, including timing, speakers, and participant management.
Preparing and distributing invitations, managing RSVPs, and liaising with speakers and participants.
Coordinating logistics with the venue and service providers, ensuring all event materials are prepared and available.
Documenting the event proceedings and compiling a comprehensive report post-event.
Maintaining accurate records and trackers throughout the process to ensure smooth communication and follow-up actions.
Required Qualifications: Candidates must possess a university degree in public administration, business administration, communications, event management, social sciences, gender studies, international relations, or a related field. An advanced degree is considered an advantage. Additionally, candidates should have at least five years of relevant experience in event coordination, project administration, or stakeholder engagement, preferably within international organizations or government institutions. Experience in organizing high-level conferences and navigating government approval processes is essential. Familiarity with gender equality issues and the development context in Vietnam is also advantageous.
Educational Background: The position requires a university degree in a relevant field such as public administration, business administration, communications, event management, social sciences, gender studies, or international relations. An advanced degree is preferred and may enhance a candidate's qualifications for the role.
Experience: Candidates should have a minimum of five years of experience in roles related to event coordination, project administration, or stakeholder engagement. Experience with international organizations, government institutions, or academic settings is highly desirable. Demonstrated experience in organizing significant conferences and managing approval processes is crucial for success in this role.
Languages: Fluency in both Vietnamese and English is mandatory for this position. Strong oral and written communication skills in both languages are essential for effective coordination and stakeholder engagement. Additional language skills may be considered an asset but are not required.
Additional Notes: This position is a consultancy role with a contract duration tied to the event planning and execution timeline. The consultant will be expected to work full-time during the preparation and execution phases of the CGEP launch. Compensation details will be discussed during the hiring process.
