Job Overview: The UN Travel Officer position is a temporary role based in Santo Domingo, Dominican Republic, within the Office of the Chief, Operations and Resources Management. The incumbent will be responsible for ensuring smooth travel arrangements for all personnel serving with the field mission, managing travel claims, and providing updated travel-related information to mission staff. The role requires effective management of budgets for self-accounting units and oversight of UN property. The Travel Officer will supervise the travel processing group, ensuring adherence to UN rules and regulations while minimizing costs. This position is crucial for maintaining operational efficiency and supporting the mission's objectives.
Duties and Responsibilities: The Travel Officer will manage and make decisions to ensure effective delivery of travel services across UNSOH, aligning with the Organization’s goals and the UN80 initiative. Responsibilities include administering official travel arrangements, controlling UN travel documents, establishing travel entitlements, assisting with finance and budget requirements, and managing the Travel Management Services contractor. The officer will coordinate with other agencies to ensure compliance and assist with travel management systems. Additional duties include liaising with UN global travel community leaders, negotiating corporate discounts with airlines, researching new technologies in travel markets, and assisting UN travelers in complex situations. The officer will also create Funds Commitment documents for travel and verify travel expenditure reports.
Required Qualifications: Candidates must possess a high school diploma or equivalent, with a technical or vocational diploma in business administration or travel-related fields being required. Knowledge of administrative, budgetary, financial, and human resources policies is essential. Candidates should demonstrate professionalism, teamwork, and accountability, with the ability to apply UN administrative rules and regulations effectively. Analytical skills to interpret large data sets and recommend improvements are also necessary.
Educational Background: A high school diploma or equivalent is required, along with a technical or vocational diploma/certificate in business administration or travel-related fields. This educational background is crucial for understanding the complexities of travel management and administrative processes within the UN framework.
Experience: Candidates should have at least ten years of progressively responsible experience in administration, budget, and/or finance within the UN system, specifically related to international travel management. This experience is reduced to five years for those with a first-level university degree. Desirable experience includes complex contract negotiations, familiarity with enterprise resource planning applications like SAP/UMOJA, managing high-volume teams, and analyzing large data sets.
Languages: The working languages of the United Nations Secretariat are English and French. For this position, proficiency in English and Spanish is required, with a minimum level of proficiency in reading, writing, listening, and speaking as per the UN Language Framework.
Additional Notes: This temporary position is available for three months, pending formal approval of funding and staffing structures. The selected candidate may be required to deploy temporarily for this period. The position is subject to termination or adjustment based on funding approvals or mission mandates.
