Job Overview: The Program Assistant position at the World Bank Group in Amman, Jordan, is designed for a highly motivated individual who will provide essential administrative, operational, and program support to the Country Management Unit (CMU). The selected candidate will report directly to the Operations Manager and will be responsible for ensuring the effective implementation of the World Bank's programs in Jordan. This role requires strong organizational skills, sound judgment, and the ability to manage multiple priorities in a fast-paced, multicultural environment. The Program Assistant will coordinate various administrative and operational activities, support missions and events, facilitate communication with stakeholders, and ensure the smooth functioning of the Country Office. The position is critical for maintaining high-quality services to clients and partners, and it involves close collaboration with various teams within the World Bank Group.
Duties and Responsibilities: The Program Assistant will undertake a variety of responsibilities, including but not limited to: coordinating with government authorities and external stakeholders to facilitate operational requirements; serving as the administrative focal point for Country Office operations; managing office logistics and workspace coordination; supporting staff onboarding and office orientation; coordinating travel logistics and administrative arrangements for visiting missions; organizing meetings, workshops, and events; drafting and editing correspondence and reports; managing complex calendars and schedules; responding to administrative inquiries; maintaining administrative records; and generating operational reports. The role also involves cross-training with administrative colleagues to ensure business continuity and effective team support, as well as providing backup support to other administrative staff as needed.
Required Qualifications: Candidates must possess a minimum of a Bachelor’s degree and have 2-5 years of relevant experience. The ideal candidate should demonstrate strong teamwork and interpersonal skills, advanced knowledge of Microsoft Office applications, and the ability to manage multiple tasks effectively. Familiarity with institutional policies and procedures relevant to the World Bank is essential, along with a client-oriented attitude and strong communication skills. The candidate should also exhibit flexibility and adaptability in a dynamic work environment, as well as a drive for results and accountability.
Educational Background: A Bachelor’s degree is the minimum educational requirement for this position. Candidates with advanced degrees may be preferred, depending on their experience and qualifications. The educational background should ideally be in fields related to administration, business, or a relevant discipline that supports the functions of the Program Assistant role.
Experience: The position requires a minimum of 2-5 years of relevant experience in administrative support, office management, or a related field. Candidates should have a proven track record of managing administrative tasks in a fast-paced environment, demonstrating the ability to prioritize and execute tasks efficiently while maintaining high standards of quality and accuracy.
Languages: The mandatory language for this position is English. Proficiency in additional languages, particularly those relevant to the Middle East and North Africa region, would be considered an asset but is not required.
