Job Overview: The Business Support Assistant (Assistant to Representative & director" style="border-bottom: 1px dotted #007bff !important;">Country Director) plays a crucial role in the operational efficiency of the WFP Country Office in Armenia. This position is designed to provide comprehensive support to the Country Director and the office management team, facilitating effective communication and coordination among various stakeholders. The assistant will be responsible for managing the Country Director's calendar, organizing meetings, and ensuring that all correspondence is handled efficiently. This role requires a proactive approach to problem-solving and the ability to maintain confidentiality while managing sensitive information. The assistant will also be involved in drafting correspondence, managing records, and supporting the organization of events, thereby contributing to the overall effectiveness of the WFP's mission in Armenia.
Duties and Responsibilities: The Business Support Assistant will perform a variety of duties, including but not limited to: facilitating the Country Director’s interactions with external partners through effective communication; maintaining the calendar and scheduling meetings; managing incoming and outgoing correspondence; organizing and attending meetings and events, preparing minutes and summaries; following up on deadlines and commitments; arranging travel and accommodation for the Country Director; maintaining records and databases; drafting correspondence and reviewing outgoing documents for accuracy; translating official documents; establishing and updating organizational dashboards; acting as the security" style="border-bottom: 1px dotted #007bff !important;">Security Focal Point; and serving as the Vendor and Alternate Travel Focal Point. The assistant will ensure that all tasks are completed in accordance with WFP regulations and procedures, contributing to the smooth operation of the Country Office.
Required Qualifications: Candidates must possess a completion of secondary school education, with a post-secondary certificate in a related functional area being desirable. Additionally, candidates should have five or more years of progressively responsible work experience in a relevant business stream, particularly in general administrative work. Knowledge of specialized common business practices and methods, along with the ability to develop and maintain relationships with a range of individuals, is essential. Strong communication skills, attention to detail, and the ability to work under deadlines are also required.
Educational Background: The minimum educational requirement for this position is the completion of secondary school education. A post-secondary certificate in a relevant field is considered an asset, as it demonstrates additional training and knowledge in business support functions.
Experience: The ideal candidate should have at least five years of progressively responsible experience in administrative roles, particularly within a business or humanitarian context. This experience should include general administrative work, data management, and communication with various stakeholders. Familiarity with the operations of international organizations or NGOs is advantageous.
Languages: Fluency in English and Armenian is mandatory, with a working knowledge of Russian being a desirable asset. Candidates should be able to communicate effectively in both written and spoken forms in these languages, as the role involves translation and communication with diverse partners.
