Job Overview: The Team Assistant G4 position is designed to provide essential administrative support to a group of professionals within the IAEA's Division of Nuclear Fuel Cycle and Waste Technology. This role is crucial for ensuring the efficient operation of the office, as the Team Assistant will be responsible for a variety of administrative tasks that facilitate the work of the team. The position requires a proactive individual who can manage correspondence, records, and logistics effectively. The Team Assistant will report directly to a Section/Unit Head/Supervisor and will play a key role in maintaining the workflow of the office by assisting with administrative practices and procedures. The successful candidate will be expected to contribute to the overall efficiency of the team by providing timely and accurate support, ensuring that all administrative tasks are completed in accordance with corporate standards and guidelines.
Duties and Responsibilities: The Team Assistant will be responsible for a wide range of duties including, but not limited to: drafting standard correspondence and formatting various documents according to corporate communication guidelines; managing office records and files, ensuring compliance with corporate standards; organizing internal and external meetings, including logistics and preparation of materials; taking minutes and notes during meetings; making travel arrangements and preparing travel authorizations; inputting and retrieving information from databases; assisting with budget tracking and financial planning; distributing work among support staff and providing guidance on administrative practices; and offering backup support to staff in executive offices. The role requires a high level of organization, attention to detail, and the ability to manage multiple tasks simultaneously.
Required Qualifications: Candidates must have completed secondary education and possess a minimum of four years of general office support experience, ideally in an international environment. Proficiency in MS Office applications (Word, Excel, Outlook, PowerPoint) is essential, along with the ability to draft routine correspondence and documents in accordance with established standards. The candidate should also demonstrate the ability to provide training and guidance to newly recruited office support staff. Strong analytical and client-oriented skills are required, as well as the ability to maintain effective relationships with clients and colleagues.
Educational Background: The educational requirement for this position is a completed secondary education. Additional qualifications or certifications in administrative support or related fields may be advantageous but are not mandatory.
Experience: The position requires a minimum of four years of general office support experience. Experience in an international environment is preferred, as it provides valuable context for the role within the IAEA's diverse and multicultural setting. Candidates should have a proven track record of managing administrative tasks efficiently and effectively.

Additional Notes: The IAEA offers an attractive remuneration package, including a tax-free annual net base salary starting at EUR 51,384, subject to mandatory deductions for pension contributions and health insurance. Employees are entitled to six weeks of annual vacation, a pension plan, and health insurance.
