Job Overview: The Programme Assistant position is crucial for providing administrative support to the Department of Nuclear Sciences and Applications at the IAEA. This role involves assisting in the organization of conferences, workshops, and meetings, as well as managing the administrative arrangements within the Section. The Programme Assistant will work closely with the Section Head and other professional staff to ensure that all logistical and administrative tasks are executed efficiently. The Programme Assistant will also play a key role in maintaining communication with participants and ensuring that all necessary arrangements for events are in place. Duties and Responsibilities: The Programme Assistant will be responsible for a variety of tasks, including but not limited to: assisting in the organization of conferences, workshops, and seminars by coordinating logistics and travel arrangements; providing administrative support for coordinated research projects, including maintaining financial plans and updating expenditure statuses; managing the overall administration of the Section's office, including procurement and supplies; proofreading technical documents and publications; maintaining and updating the Subprogramme's contact lists and databases; drafting correspondence and preparing meeting minutes; and performing other related duties as required by the Section Head. The role requires strong organizational skills and the ability to work collaboratively with team members and external stakeholders.
Required Qualifications: Candidates must have completed secondary education and possess a minimum of five years of general office support experience, with some experience in an international environment being preferred. Proficiency in MS Office applications (Word, Excel, Outlook, PowerPoint) is essential, along with the ability to maintain confidentiality and act with discretion. The ideal candidate should also have the capability to provide training and guidance to newly recruited office support staff, ensuring they are well-versed in administrative practices and procedures. Strong communication skills, both oral and written, are necessary for effective interaction with colleagues and external partners.
Educational Background: The minimum educational requirement for this position is the completion of secondary education. Additional Notes: The IAEA offers an attractive remuneration package, including a tax-free annual net base salary starting at EUR 59,439, subject to mandatory deductions for pension contributions and health insurance.
