Job Overview: The position of Programme Management Assistant is located in the Law Division, specifically within the Ozon Action Branch, part of the Compliance Assistance Programme (CAP) team for South Asia, based in Bangkok, Thailand. The incumbent will be responsible for providing comprehensive support in planning and implementing various departmental programme and project initiatives. This role requires a proactive approach to research, data analysis, and project coordination, ensuring that all aspects of programme management are executed efficiently. The Programme Management Assistant will work closely with the Head of the Ozon Action Branch and the Regional Coordinator of the Montreal Protocol Network for South Asia, contributing to the overall success of the CAP team’s objectives. The position demands a high level of professionalism, attention to detail, and the ability to manage multiple tasks simultaneously while adhering to deadlines.
Duties and Responsibilities: The Programme Management Assistant will undertake a variety of duties, including but not limited to: assisting in the planning and implementation of complex departmental programmes and projects; conducting research and compiling data on specific programmes; coordinating the preparation and submission of project proposals and budget estimates; monitoring and evaluating programme/project performance; collaborating with programme managers on performance reporting; drafting summaries and coordinating project reviews; serving as a focal point for project implementation activities; maintaining and updating electronic and paper files; drafting correspondence related to programme administration; assisting with logistical arrangements for meetings and workshops; and managing administrative and financial actions using IT tools such as UMOJA. The role also involves data collection and analysis, preparation of presentations and reports, and ensuring compliance with organizational guidelines and procedures.
Required Qualifications: Candidates must possess a high school diploma or equivalent, with relevant training in office electronic equipment and proficiency in MS Word, Excel, and PowerPoint being desirable. A strong understanding of programme and project administration, financial management, and technical cooperation is essential. The ability to analyze and interpret data, coupled with good judgment and problem-solving skills, is crucial for success in this role. Candidates should demonstrate a commitment to gender equality and the ability to work effectively in a diverse team environment.
Educational Background: While a high school diploma is the minimum requirement, candidates with a first-level university degree or higher will have their minimum years of relevant experience reduced. Relevant training in office management and proficiency in office software are highly desirable, as they contribute to the efficiency and effectiveness of the Programme Management Assistant's role.
Experience: A minimum of seven years of experience in programme or project administration, financial management, or a related area is required. This experience is reduced to five years for candidates with a first-level university degree or higher. Experience with an Enterprise Resource Planning (ERP) system, such as Umoja, is desirable, as is experience in data analytics or related fields. Familiarity with the United Nations common system or similar international organizations is also advantageous.
Languages: English is the required working language for this position, with a minimum proficiency level of UN Level II in reading, writing, listening, and speaking. Knowledge of French is considered an asset, as it is one of the working languages of the United Nations Secretariat. Proficiency in additional languages may enhance a candidate's application but is not mandatory.
