Job Overview: The UN Administrative Assistant position is crucial for supporting the UN Resident Coordinator's Office (RCO) in Bangkok, which oversees development priorities and the attainment of the Sustainable Development Goals (SDGs) in DPR Korea. The role involves a variety of administrative functions, including human resources management, budget and finance, general administration, and contract administration. The Administrative Assistant will report directly to the Head of the RCO and will be responsible for ensuring that the office operates smoothly and efficiently. This position requires a proactive individual who can handle multiple tasks, provide support to the team, and maintain effective communication with various stakeholders. The successful candidate will play a key role in facilitating the office's operations and contributing to the overall mission of the UN.
Duties and Responsibilities: The incumbent will perform a wide range of duties, including but not limited to: managing human resources activities such as recruitment, performance appraisal, and training; overseeing budget preparation and monitoring expenditures; drafting correspondence and coordinating with service units; assisting with data collection and analysis; managing contracts with external service providers; and ensuring compliance with UN rules and regulations. The Administrative Assistant will also be responsible for preparing financial reports, maintaining personnel files, and supporting the organization of meetings and events. Additionally, the role may involve guiding and supervising junior staff members, ensuring that all administrative functions are carried out efficiently and effectively.
Required Qualifications: Candidates must possess a high school diploma or equivalent, with a bachelor's or advanced university degree in business administration, office management, communication, or related fields being advantageous. Additional certifications in administrative services, finance, accounting, audit, or human resources are desirable. The role requires a strong understanding of UN administrative, financial, and human resources rules and regulations, as well as proficiency in data analysis and interpretation to support decision-making processes.
Educational Background: The minimum educational requirement for this position is a high school diploma or equivalent. However, candidates with a bachelor's or advanced degree in relevant fields such as business administration, office management, or communication will be preferred. Additional certifications in areas related to administrative services, finance, or human resources will enhance a candidate's profile and are considered advantageous for this role.
Experience: A minimum of seven years of progressively responsible experience in administrative services, finance, accounting, audit, or human resources is required. Candidates with a first-level university degree may have the minimum experience requirement reduced by two years. Experience with an Enterprise Resource Planning (ERP) system, such as Umoja, is desirable, as is experience working with the United Nations or similar international organizations. Additionally, candidates should have at least one year of experience in data analytics or related areas, which will be beneficial for the role.
Languages: English is the mandatory working language for this position, with a required proficiency level of UN Level II in reading, writing, listening, and speaking. Knowledge of Thai is desirable, with a proficiency level of UN Level I being sufficient. Familiarity with French is also beneficial, as it is one of the working languages of the United Nations Secretariat.
Additional Notes: This is a fixed-term position with an initial appointment period of one year, subject to the availability of funds and budgetary approval. The position is subject to local recruitment, meaning that applicants must be authorized to work in Thailand. Selected candidates from outside the duty station will be responsible for their relocation expenses.
