Job Overview:
The position of Auxiliar de Apoyo Operativo is crucial for ensuring the effective functioning of the feedback and complaints mechanism (CFM) within WFP. The role involves planning and implementing timely dissemination and operational actions related to the CFM, ensuring that services are accessible to the assisted populations in accordance with applicable standards and corporate policies. The Auxiliar will systematically collect and process information to generate reports, visualizations, and correspondence related to the operation and reach of the CFM. This position requires vigilance in adhering to corporate standards and data protection policies throughout all CFM activities. The Auxiliar will also respond to inquiries and proactively provide information regarding the CFM's operations to facilitate decision-making by country management and unit heads involved in assistance activities. Training and supervising personnel who assist the target population through various communication channels of the CFM is also a key responsibility, along with managing the CFM database to ensure timely responses to all inquiries, complaints, or reports received from beneficiaries. Conducting satisfaction surveys regarding the management and resolution of cases directed at assisted populations is another important aspect of this role. Maintaining relationships with a wide range of internal and external stakeholders is essential for coordinating dissemination and operational actions of the CFM.

Duties and Responsibilities:
  • Plan and ensure the timely implementation of dissemination and operational actions for the CFM, in coordination with CSP activities that reach direct beneficiaries.
  • Systematically collect and process information to generate reports, visualizations, and correspondence related to the CFM's operation and reach.
  • Monitor and ensure compliance with corporate standards and data protection policies throughout all CFM activities.
  • Respond to inquiries and proactively provide information about the CFM's operations for decision-making by country management and unit heads involved in assistance activities.
  • Train, supervise, and support personnel who assist the target population through all CFM communication channels.
  • Manage the CFM database to record and respond to all inquiries, complaints, or reports from the beneficiary population.
  • Conduct satisfaction surveys regarding the management and resolution of cases directed at assisted populations who have utilized the CFM.
  • Maintain relationships with a wide range of internal and external stakeholders for the coordination of dissemination and operational actions of the CFM.
  • Process and manage administrative and financial tasks across various functional areas to contribute to the effective and timely management of resources assigned to the CFM.

Required Qualifications:
  • Secondary education diploma (completed high school) is required.
  • A university degree in Business Administration or a related field is desirable.
  • Minimum of four years of experience in administrative, operational, or program support functions (two years of experience if holding a completed university degree).
  • Desirable experience in managing and monitoring databases.
  • Required experience in report writing, information analysis, and indicator management.
  • Desirable experience coordinating with multiple internal and external stakeholders.
  • Experience in humanitarian organizations, NGOs, United Nations, or social programs is desirable.
  • Desirable experience supervising staff, volunteers, or public service teams.
  • Desirable experience in data collection and analysis for monitoring and evaluation. 1

Educational Background:
The position requires a completed secondary education diploma (Bachillerato). A university degree in Business Administration or a related field is preferred, as it provides a foundation for understanding office management and administrative functions.

Experience:
Candidates should have a minimum of four years of relevant experience in administrative, operational, or program support roles. If the candidate holds a completed university degree, a minimum of two years of experience is required. Experience in managing databases, report writing, and working with various stakeholders is highly valued, as is experience in humanitarian settings or with vulnerable populations.

Languages:
Fluent Spanish is mandatory for this position. Basic English is desirable, which would enhance communication and collaboration in a multicultural environment.
