Job Overview:
The Senior Staff Assistant position is a pivotal role within the Office of the Executive Secretary at ECLAC. The incumbent will report directly to the Executive Secretary and will be responsible for a wide range of administrative and support functions. This role requires a high level of professionalism and discretion, as the Staff Assistant will handle confidential correspondence and communications. The position involves supervising other general service staff, managing the Executive Secretary's schedule, and ensuring the smooth operation of the office. The Staff Assistant will also be tasked with preparing and processing confidential information, making travel arrangements, and maintaining office files. The role demands strong organizational skills, the ability to manage complex information requests, and the capacity to coordinate with various divisions and teams within the organization. The Staff Assistant will play a crucial role in supporting the Executive Secretary in achieving ECLAC's mission and objectives.

Duties and Responsibilities:
The duties and responsibilities of the Senior Staff Assistant include: providing guidance and training to other general service staff; supervising secretarial tasks and evaluating performance; managing all correspondence addressed to the Executive Secretary, including screening and routing; proofreading correspondence for accuracy and compliance; handling complex information requests and inquiries; preparing and classifying confidential information; supporting the Executive Secretary with scheduling and travel arrangements; maintaining attendance records; keeping office files organized; ensuring the availability of publications for distribution; identifying and resolving issues as they arise; coordinating with divisions and liaising with internal team members; attending meetings and gathering relevant information; assisting with data collection and analysis; preparing presentations and reports; updating information materials; and performing other administrative duties as required.

Required Qualifications:
Candidates must possess a high school diploma or equivalent. For positions in the General Service category, it is essential to clearly indicate relevant information confirming completion of high school in the Applicant Profile. Additionally, candidates should demonstrate a strong understanding of United Nations administrative, financial, and human resources rules and regulations. Professionalism, teamwork, and effective planning and organizing skills are critical for success in this role. The ability to perform a broad range of administrative functions and to apply knowledge in various work situations is necessary.

Educational Background:
A high school diploma or equivalent is required for this position. Candidates must clearly indicate their educational qualifications in their Applicant Profile, confirming the completion of high school. There are no specific job-specific qualifications listed for this role, but a strong educational background in administrative services or related fields may be beneficial.

Experience:
Candidates must have at least ten (10) years of experience in administrative services, finance, accounting, audit, human resources, or a related area. For those with a first-level university degree or higher, the minimum years of relevant experience is reduced to eight (8). Relevant experience in protocol matters is required, and experience working with high-level officials is desirable. Additionally, experience in the principal/executive office of an international or governmental organization is preferred. Languages:
For this position, proficiency in English and Spanish is required, as these are the working languages of the United Nations Secretariat. Candidates should also have a good command of either French, Chinese (Mandarin), Arabic, or Russian, which is considered desirable.
