Job Posting Organization:
The NATO-Wide Coordination (NWC) Office is an independent office established to enhance governance, coherence, and institutional alignment across NATO agencies and bodies. It operates under the authority of the Secretary General and the Director General for Management, serving as a central coordination point between NATO Headquarters and its executive bodies. The NWC Office plays a crucial role in ensuring integrated support to Agency Boards and alignment with NATO's strategic priorities, thereby contributing to the overall effectiveness of NATO's operations.

Job Overview:
The NATO Governance Support Specialist will support the NATO Airlift Management (NAM) Programme and the Strategic Airlift Capability (SAC) Boards and Committees. This position involves performing administrative tasks that are essential for the functioning of the Boards and their subordinate bodies. The incumbent will be responsible for providing context analysis on governance matters, developing guidelines for document submissions, organizing meetings, and ensuring effective communication with key stakeholders. The role requires a proactive approach to managing information and supporting the governance processes within NATO, ensuring that all activities align with NATO's strategic objectives.

Duties and Responsibilities:
The incumbent will be responsible for a variety of tasks including:
  • Planning and Execution: Providing context analysis to the Senior Governance Officer on SAC/NAM governance matters, assisting in developing guidelines for document submissions, organizing and supporting meetings, and serving as Secretary of the SAC Personnel Conference when necessary.
  • Information Management: Ensuring timely and accurate input and distribution of documents related to the SAC SB and NAM PB, maintaining tools to track implementation of decisions, and supporting the preparation of standardized documentation.
  • Stakeholder Management: Liaising with key stakeholders, responding to queries from national representatives, and ensuring document consistency and accuracy.
  • Financial Management: Monitoring expenditures related to NAM Programme activities and coordinating with the NSPO Budget Fund Manager on budget administration.
  • Performing any other related duties as assigned by the Senior Governance Officer.

Required Qualifications:
Candidates must possess a general education at least to secondary level, with a minimum of 6 years of experience in administration or secretariat duties. Excellent written and verbal communication skills are essential, along with sound judgment when interacting with personnel at all levels, including senior military and civilian officials. Proficiency in NATO's official languages is required, with at least V (Advanced) in one language and I (Beginner) in the other. Additional qualifications that would be advantageous include experience in governance support within an international organization, knowledge of Microsoft SharePoint administration, and experience in budget preparation and monitoring.

Educational Background:
A general education at least to secondary level is required for this position. Further educational qualifications in administration, management, or a related field would be beneficial and may enhance a candidate's suitability for the role.

Experience:
The position requires at least 6 years of relevant experience in administration or secretariat duties. Experience in governance and administrative support within an international and multicultural organization is highly desirable, as it demonstrates the ability to navigate complex organizational structures and cultural dynamics.

Languages:
Proficiency in NATO's official languages is mandatory, with a minimum of V (Advanced) in one language and I (Beginner) in the other. English and French are the official languages, and candidates should be able to communicate effectively in both, with a strong preference for those who can demonstrate advanced skills in one of the languages.

Additional Notes:
The successful applicant will receive a definite duration contract of three years, with the possibility of an indefinite duration contract thereafter. If the applicant is seconded from a national administration of a NATO member state, a similar contract will be offered, subject to national authority agreement.
