Job Overview: The Warehouse Operations Assistant plays a crucial role in managing the logistics and storage of medical supplies and equipment within the WHO framework. This position involves overseeing the inspection of incoming consignments, ensuring compliance with quality standards, and maintaining accurate records of stock levels. The assistant will work closely with warehouse staff to ensure that all goods are stored according to WHO guidelines and that data entry is performed accurately. The role also requires collaboration with various stakeholders, including the Ministry of Health and other public health centers, to facilitate the timely distribution of medical supplies. The assistant will be expected to participate in physical inspections of stock and contribute to the overall efficiency of warehouse operations, ensuring that health services are adequately supported.
Duties and Responsibilities:
Manage the inspection of all incoming consignments of medicines and equipment, verifying quality and quantity against purchase orders and shipping documents.
Share WHO goods information with warehouse staff to maintain the accuracy of the administrative stock database.
Ensure proper storage arrangements of drugs and medical supplies according to WHO Standard Operating Procedures.
Undertake quality data entry for inbounds and outbounds of goods stored in warehouses using GIMS/BMS systems.
Notify supervisors and prepare reports for pre-expired goods or damaged items for insurance claims or returns.
Maintain records and monitor receiving reports and delivery notes of medical supplies and equipment.
Maintain regular contact with the WHO Shipping officer regarding shipping document compliance.
Participate in the timely delivery and distribution of medical supplies to health facilities based on requests.
Conduct periodic physical inspections of stock and provide input for disposal of obsolete items. 1
Prepare monthly reports on stock positions and expiry dates. 1
Collaborate with logistics and procurement assistants to finalize payments for deliverables. 1
Brief other storekeepers on drugs storage SOPs. 1
Perform all other related duties as assigned.
Required Qualifications: Essential qualifications include completion of secondary education. Desirable qualifications include training related to the management and movement of medical goods. Candidates should possess good organizational skills, time management abilities, and knowledge of WHO rules and procedures. Proficiency in using Microsoft applications and stock management systems is essential, along with the ability to operate a PC effectively.
Educational Background: The position requires at least a secondary education. Additional training related to the management and movement of medical goods is desirable, which may include courses or certifications in logistics, supply chain management, or warehouse operations.
Experience: Candidates must have at least three years of progressive experience in warehouse operations, transportation, and/or logistics. Relevant experience within the UN system is considered an asset, as it demonstrates familiarity with international standards and practices in health logistics.
Languages: Expert knowledge of English and Ukrainian is essential for this position. Intermediate knowledge of other official WHO languages is desirable, which may enhance communication with diverse stakeholders and partners.
Additional Notes: The position offers an annual base salary starting at USD 18,063, subject to mandatory deductions for pension contributions and health insurance. Staff members are entitled to 30 days of annual leave.
