Job Overview:
The Supply Associate position is a critical role within UNHCR, responsible for managing and supporting all activities related to the supply chain function. This includes planning, sourcing, procurement, transport, shipping, customs clearance, warehousing, asset management, and fleet management. The incumbent will work under the supervision of a higher-level supply position and will receive regular guidance and instructions from their supervisor. The role requires maintaining regular contact with other UNHCR offices, UN agencies, NGOs, government partners, and commercial contractors to facilitate the supply function. The Supply Associate is expected to support and monitor supply activities within their geographical area, ensuring efficiency in resource utilization and adherence to UNHCR's regulatory framework, including the UN Charter and relevant policies. The position also emphasizes accountability and the importance of upholding UNHCR's core values of professionalism, integrity, and respect for diversity.

Duties and Responsibilities:
The duties and responsibilities of the Supply Associate include, but are not limited to: supporting supply activities in compliance with supply chain rules and procedures; preparing plans for the delivery of relief and non-food items based on operational needs; applying UNHCR's sourcing and procurement strategy; maintaining accurate records of supply activities; evaluating purchase requisitions; drafting and dispatching quotation requests and tenders; preparing purchase orders and monitoring the transport of goods; providing guidance on procurement policies; generating asset management reports; monitoring supply chain data quality; disseminating UNHCR's global policies on supply chain management; tracking progress of operations; assisting in coaching individuals; monitoring periodic supply exercises; ensuring local liaison with partners; managing storage of goods; coordinating supply activities with partners and contractors; implementing asset and fleet management practices; and supporting risk management and decision-making processes.

Required Qualifications:
The required qualifications for the Supply Associate position include a minimum of three years of relevant experience with a High School Diploma, or two years of relevant work experience with a Bachelor’s degree or equivalent. Essential qualifications include knowledge of public procurement and asset management, experience working with public sector organizations, UN agencies, NGOs, or international organizations, and strong proficiency in Microsoft Excel. Desirable qualifications include professional certification in procurement, database management skills, and experience in warehouse management and reconciliation.

Educational Background:
Candidates must possess a High School Diploma or a Bachelor’s degree in a relevant field such as Business Administration, Economics, Marketing, or a related discipline. Certificates and licenses in trade, business administration, or economics are essential for this role. Additional training in UN procurement and logistics is also desirable.

Experience:
The position requires a minimum of three years of relevant experience for candidates with a High School Diploma, or two years of relevant experience for those with a Bachelor’s degree. Experience in public procurement and asset management is essential, along with familiarity with UN procurement processes and logistics. Candidates should have a proven track record of working effectively in public sector environments, particularly with UN agencies or international organizations.

Languages:
Fluency in both Ukrainian and English is mandatory, with a minimum overall ability of B2 level in both languages. Knowledge of the UN working language of the duty station is also required. Additional language skills may be considered an asset but are not mandatory.
