The Administrative Assistant position at WFP involves providing essential support to staff members to ensure they have the necessary resources to perform their duties effectively. Duties and Responsibilities:
  • Collect, sort, and distribute mail, reports, and other documents to meet staff requirements while adhering to established timelines.
  • Respond to routine inquiries and escalate issues to higher levels as necessary to ensure timely and reliable service.
  • Review documents such as standardized reports or correspondence to contribute to the accuracy of staff communications.
  • Propose a set of standard management support activities to enhance operational efficiency where applicable.
  • Assist in travel bookings or event organization to facilitate staff productivity.
  • Manage office records, documents, and archives according to established systems and procedures, ensuring information is current and readily accessible.
  • Perform routine data entry tasks in accordance with defined systems to ensure information is organized and easily retrievable by the management team.

Required Qualifications:
The position requires a minimum of a secondary school education. Candidates must possess at least three years of relevant administrative work experience. Knowledge of standard office equipment and practices is essential, along with proficiency in standard office software such as Microsoft Word. Candidates should demonstrate tact and courtesy in interactions with individuals from diverse backgrounds and possess a keen attention to detail to identify discrepancies in data. The ability to meet deadlines and follow clear instructions is also critical for success in this role.

Educational Background:
Candidates must have completed secondary education. Additional qualifications or certifications in administration or related fields may be advantageous but are not mandatory.

Experience:
A minimum of three years of professional experience in administrative roles is required.
