Job Overview:
The Executive Assistant position is situated within the United Nations Resident Coordination Office (RCO) in Maputo, Mozambique. This role is pivotal in ensuring the effective and efficient functioning of the Resident Coordinator's (RC) Front Office. The Executive Assistant will manage the RC's schedule, logistical requirements, and protocol procedures, while also maintaining the flow of information and following up on commitments. The position requires a high level of confidentiality and professionalism, as the Executive Assistant will be the primary point of contact for the RC's engagements. The role involves drafting correspondence, managing travel logistics, and organizing official events, all while ensuring that the RC is well-prepared for meetings and engagements. The Executive Assistant will also support communication efforts within the office and assist with general administrative tasks, contributing to the overall success of the RCO's mission.

Duties and Responsibilities:
  • Ensure effective and efficient functioning of the RC Front Office by maintaining the RC's calendar, arranging appointments, and providing protocol coverage.
  • Coordinate high-quality briefing materials for the RC and ensure compliance with UN norms in all correspondence.
  • Draft key correspondence, including notes to files and minutes of meetings, and provide translation services.
  • Manage the RC's travel arrangements, including preparing travel requests and ensuring logistics are in place.
  • Maintain contact lists of high-level partners and assist in organizing official events.
  • Provide administrative support, including acting as an alternate to the RCO Administrative Assistant when required.
  • Assist with data collection and analysis, preparing presentations and reports for decision-making.
  • Support RCO activities, including operations and logistics for events.
  • Perform other relevant duties as assigned by the Head of Office.

Required Qualifications:
Candidates must possess a minimum of seven years of progressively responsible experience in administrative services, finance, accounting, audit, human resources, or a related area. Experience in front office management, particularly within international organizations or diplomatic settings, is essential. Additionally, candidates should have experience providing senior executive support within the UN system or similar environments. A first-level university degree can reduce the required experience by two years. Experience in data analytics is desirable but not mandatory.

Educational Background:
Completion of Secondary School/High school diploma or equivalent is required. A Bachelor’s or advanced university degree in business administration, office management, communication, or related fields is advantageous and may enhance a candidate's profile.

Experience:
The position requires a minimum of seven years of relevant experience in administrative services or related fields. Candidates with a first-level university degree may qualify with five years of experience. Experience in front office management and providing support to senior executives in international organizations is crucial. Familiarity with data analytics or related areas is considered a plus.

Languages:
English and Portuguese are mandatory for this position. English is required at UN Level II for reading, writing, listening, and speaking. Portuguese is required at UN Level III for all language skills. Knowledge of French is also beneficial but not mandatory.

Additional Notes:
This is a Fixed Term position, initially for one year, with the possibility of extension based on funding and budgetary approval. The position is subject to local recruitment, meaning applicants must be authorized to work in Mozambique. Staff members recruited locally are not eligible for international allowances or benefits.
