Job Overview: The work-study archivist will work under the hierarchical responsibility of the Stock, Transport & Customs (STD) referent within the Supply Chain service of the Logistics and Information Systems (LSI) department of Solidarités International. The archivist will also have partial functional responsibility to the Head of the Ethics & Compliance Service. The intern will actively participate in improving the organization's operations regarding archive management by developing knowledge and analyses on the archiving procedures of Solidarités International. The intern will also support various projects led by the STD referent or the Head of the Ethics & Compliance Service. During the internship, the apprentice will develop skills in collecting, classifying, preserving, and communicating both physical and digital archives.
Duties and Responsibilities: The duties of the work-study archivist include managing archives, supporting the development and dissemination of tools and procedures for effective archive management, participating in exchanges with country offices regarding archive flow management, receiving archives from the field at the headquarters, controlling the quality and designation of received archives, providing specific feedback to the field on issues encountered during archive control, assisting with the handling, loading, and unloading of delivery trucks, organizing and storing the dedicated archive storage space, updating the archive database daily, participating in communications with external storage providers, contributing to responses to external audits and other accountability requirements, proposing improvements to archive databases, participating in the development of tools for managing flows and quality of archives, participating in briefings for expatriates on internal archiving standards, and supporting the deployment of electronic archiving solutions. This list is not exhaustive, and other related tasks may be assigned by the direct supervisor.
Required Qualifications: The position requires a strong understanding of both physical and digital archiving practices, including stock management, database management, and historical archives. The candidate should demonstrate the ability to develop project management skills related to digital transition, understand and participate in the accountability challenges faced by NGOs, and have direct contact with country offices. The candidate should also be able to master internal procedures and develop autonomy and expertise in archiving techniques, as well as understand the issues related to supply chain management and document management within an organization. Additionally, the candidate should be eager to learn about the various roles within humanitarian work and the functioning of an NGO, as well as the relationships between country offices and headquarters.
Educational Background: Candidates should have a background in archival studies, library science, information management, or a related field. A degree or ongoing studies in these areas is preferred, as it will provide the necessary theoretical knowledge and practical skills required for effective archive management.
Experience: The position is suitable for candidates who are in the process of completing their studies or have recently graduated. Previous experience in archiving, information management, or related fields is advantageous but not mandatory. The organization is looking for motivated individuals who are eager to learn and develop their skills in a practical setting.
Languages: Fluency in French is mandatory, as the position is based in France and requires communication with local teams and stakeholders. Proficiency in English is a plus, as it may facilitate communication with international colleagues and partners.
Additional Notes: The work-study position is based at the headquarters of SOLIDARITES INTERNATIONAL in Clichy (92), accessible via the Mairie de Clichy metro station. There is a possibility of remote work in accordance with the current telework charter and the manager's approval. The position is a learning contract with remuneration according to applicable regulations. Benefits include 80% coverage of health insurance, 50% reimbursement of public transport costs by SOLIDARITES INTERNATIONAL, and meal vouchers valued at €8.90 with a 60% contribution from the organization.
