Job Overview: The Human Resources Assistant position within the Human Resources Management Service (HRMS) at UNON is crucial for the effective administration of personnel actions and staff benefits. The incumbent will be responsible for a variety of HR functions, including the onboarding of new staff, processing personnel actions, and managing staff movements. Duties and Responsibilities: The duties and responsibilities of the Human Resources Assistant include, but are not limited to:
Administering contracts and staff movements by carrying out onboarding processes, processing personnel actions, issuing Letters of Appointment, and monitoring contract expiration dates.
Processing temporary and permanent staff movements, including inter-agency agreements, and managing off-boarding actions for separating staff.
Assisting staff with documentation related to benefits and entitlements, providing guidance on requirements, and ensuring accuracy in submissions.
Maintaining the personal status of staff members and administering entitlements related to dependents.
Responding to queries on staff benefits and entitlements, reviewing supporting documentation, and processing entitlement-related actions in the ERP system.
Reviewing and approving time and attendance requests, ensuring compliance with policies.
Monitoring the submission of annual declarations and preparing documentation related to health/life insurance and pension funds.
Assisting with data collection and analysis for knowledge sharing and decision-making, ensuring data integrity and identifying discrepancies.
Maintaining HR records and tracking tools, and participating in special HR projects as needed. 1
Guiding and supervising junior staff in the section and performing other relevant duties as required.
Required Qualifications: Candidates must possess a high school diploma or equivalent, with additional training in human resources or administration being desirable. A good knowledge of UN HR rules and procedures, as well as familiarity with HR systems such as Umoja, is also preferred. Experience: The position requires a minimum of seven (7) years of progressively responsible experience in human resources management, administrative services, or a related area.
