Job Overview: The Programme Assistant will work under the supervision of the Chief of Field Office in Manaus, engaging in a variety of procedural, administrative, and operational tasks. The Programme Assistant will facilitate the processing of contracts for consultants and vendors, maintain up-to-date records, and support the financial monitoring of the programme. Duties and Responsibilities: The Programme Assistant will be responsible for a wide range of duties including: facilitating the processing of contracts for consultants, vendors, and partners; maintaining vendor lists and partner databases; collecting and processing invoices; preparing and maintaining records for programme implementation; supporting the processing of documentation for implementing partners; performing SAP transactions; providing logistical support for trainings and events; managing office supplies; assisting with office relocation and repairs; tracking premises-related works; liaising with operations and service providers; maintaining the office calendar; organizing meetings; and providing travel support to staff.
Required Qualifications: Candidates must have a minimum of five years of progressively responsible administrative or clerical work experience. Fluency in Portuguese and proficiency in English are required, while knowledge of Spanish is considered an asset. Candidates should also possess strong organizational, planning, and communication skills, as well as a high sense of confidentiality and initiative. Previous experience with SAP systems and providing administrative support related to office relocation or facilities coordination is highly desirable.
Educational Background: Completion of secondary education is required, preferably supplemented by technical or university courses related to the work of the organization. This educational background is essential to ensure that the candidate has the foundational knowledge necessary for the administrative and operational tasks involved in the role.
Experience: The position requires a minimum of five years of progressively responsible experience in administrative or clerical work. This experience should demonstrate the candidate's ability to handle complex administrative tasks and provide logistical support effectively, which is crucial for the successful execution of the Programme Assistant's responsibilities.
Languages: Fluency in Portuguese is mandatory, and proficiency in English is also required. Knowledge of Spanish is considered an asset, which can enhance communication with a broader range of stakeholders and partners.
