Job Overview: The Safeguards Coordination Associate (Scheduling) plays a crucial role in the planning and scheduling of verification activities within the IAEA's Department of Safeguards. The associate will prepare and update the divisional inspection schedule, manage travel budgets, and assist in staffing assessments. Duties and Responsibilities: The Safeguards Coordination Associate will be responsible for the following duties:
Coordinate the scheduling of inspections and technical activities, ensuring optimal use of resources.
Prepare and update the divisional inspection schedule and related statistics for both headquarters and regional offices.
Draft travel-related documentation to support the divisional program and budget, including biennial budgets and quarterly travel budgets.
Analyze field activities in correlation with the AIP, highlighting key issues for senior management and recommending follow-up actions.
Prepare and review statistics on field and inspection-related activities and costs at the divisional level.
Conduct regular quality assurance reviews of key documents related to travel and scheduling.
Maintain comprehensive documentation, reports, and guidelines related to scheduling.
Provide cover for other General Service staff within the division as required.
Required Qualifications: Candidates must possess completed secondary education and at least six years of relevant work experience, with some experience in an international environment being advantageous. Experience in a planning and coordination role, as well as information analysis in a customer-focused environment, is considered an asset. Proficiency in MS Office applications (Word, Excel, PowerPoint, Visio, Project Manager) is required, along with a high level of discretion and respect for confidentiality when handling sensitive documents.
