Job Overview: The Procurement Buyer position is a critical role within the Procurement Unit of UNDP Indonesia's Operations Team. This role is primarily focused on executing and ensuring compliance with procurement processes, which are essential for the smooth operation of both Programme and Operation Units. The Procurement Buyer will be responsible for managing procurement transactions, ensuring they are processed accurately and in accordance with UNDP's established rules and procedures. This position requires a collaborative approach, as the Procurement Buyer will work closely with various teams, including project teams and other operational units, to address procurement-related issues and facilitate effective communication. The role is designed to support the overall procurement strategy of UNDP Indonesia, ensuring that all procurement activities align with the organization's goals and standards.
Duties and Responsibilities: The Procurement Buyer will undertake a variety of tasks, including:
Procurement Operations and Compliance Support: Ensuring the accurate implementation of procurement transactions in compliance with UNDP rules and regulations, maintaining high standards of documentation and process compliance, and reviewing procurement documents for correctness.
Support Procurement Processes: Assisting in the preparation and monitoring of procurement plans, leading procurement processes such as Micro Purchasing Canvas (MPC) and Request for Quotations (RFQs), conducting price analysis, preparing Purchase Orders (POs) and contracts, and following up on procurement issues.
Stakeholder Coordination and Communication: Acting as the first point of contact for colleagues regarding procurement cases, coordinating with suppliers, and escalating issues as necessary.
Knowledge Management and Process Support: Maintaining structured records of procurement documents, supporting knowledge-sharing initiatives, and providing guidance on procurement procedures.
Ethics, Integrity, and Inclusion: Upholding high standards of integrity and accountability, ensuring sustainable procurement practices, and contributing to an inclusive work environment.
Required Qualifications: Candidates for the Procurement Buyer position should possess a strong understanding of procurement processes and compliance requirements. They should demonstrate excellent organizational skills, attention to detail, and the ability to work collaboratively in a team environment. Strong communication skills are essential, as the role involves interaction with various stakeholders. Additionally, candidates should exhibit a commitment to ethical practices and inclusivity in the workplace.
Educational Background: A bachelor's degree in business administration, procurement, supply chain management, or a related field is required for the Procurement Buyer position. Experience: The ideal candidate should have at least 2-3 years of relevant experience in procurement or supply chain management, preferably within an international organization or a development context. Languages: Fluency in English is mandatory for this position, as it is the working language of UNDP. Proficiency in Bahasa Indonesia is highly desirable, as it will facilitate communication with local stakeholders and suppliers. Knowledge of additional languages may be considered an advantage.
