Job Overview:
The Project Assistant will work under the overall supervision of the Chief of Mission (CoM) in El Salvador and the direct supervision of the Program Manager (OCHA). The role involves supporting the technical implementation of OCHA-related activities across prioritized geographical locations. The Project Assistant will assist in the implementation and monitoring of project activities, compile and present information/data on specific project topics, and support the technical implementation of project activities. This includes conducting needs assessments, designing interventions, ensuring adherence to humanitarian standards, and tracking relevant assistance. The position also requires monitoring budgets, verifying fund availability, and coordinating administrative aspects of project implementation, which involves liaising with various organizational units and external parties. The Project Assistant will draft reports, correspondence, and other documentation, organize meetings and training sessions, and respond to information requests, all while maintaining accurate records.

Duties and Responsibilities:
  • Assist in the implementation and monitoring of project activities.
  • Retrieve, compile, summarize, and present information/data on specific project topics.
  • Support technical implementation of project activities in all prioritized geographical locations and conduct needs assessments, design interventions, and ensure adherence to humanitarian standards and proper tracking of the relevant assistance.
  • Monitor budget; verify availability of funds; obtain necessary approval and update budget-related information.
  • Support administrative coordination of project implementation, involving liaison with diverse organizational units and external parties to initiate requests, obtain necessary clearances, process and follow-up on administrative actions, etc.
  • Draft status reports, identifying shortfalls in delivery and bringing them to the attention of the supervisor.
  • Draft correspondence, reports, briefing notes, graphics, statistical tables, presentations, and other forms of documentation.
  • Organize meetings, workshops, and training sessions.
  • Respond to general information requests and inquiries; set up and maintain files/records. 1
  • Perform other related duties as assigned.

Required Qualifications:
The position requires a school diploma with four years of relevant experience or a Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited academic institution with two years of relevant professional experience. Accredited Universities are those listed in the UNESCO World Higher Education Database. Candidates should have experience in liaising with governmental authorities, national/international institutions, United Nations agencies, and non-governmental organizations. Experience working with migrants, refugees, internally displaced persons, victims of trafficking, and other vulnerable groups is essential. Prior work experience with international humanitarian organizations or in a multi-cultural setting is an advantage.

Educational Background:
Candidates must possess either a school diploma with four years of relevant experience or a Bachelor’s degree in a relevant field such as Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited academic institution. The educational qualifications must be from accredited universities recognized in the UNESCO World Higher Education Database.

Experience:
The position requires candidates to have relevant professional experience, specifically two years for those with a Bachelor’s degree or four years for those with a school diploma. Experience should include liaising with governmental authorities and working with vulnerable groups such as migrants and refugees. Experience in international humanitarian organizations or multi-cultural settings is considered an advantage, indicating a need for familiarity with diverse environments and challenges in the field of migration and humanitarian assistance.

Languages:
Fluency in Spanish is required for this position, both oral and written. Additionally, a working knowledge of English is desirable. Proficiency in the required languages will be specifically evaluated during the selection process, which may include written and/or oral assessments. All IOM staff members are required to be fluent in one of the IOM's official languages, which include English, French, and Spanish.
