Job Overview: The Project Manager is responsible for planning, organizing, leading, and controlling projects efficiently and effectively. This role requires in-depth knowledge of project management principles and practices, typically overseeing multiple high-complexity projects. The Project Manager will ensure projects are executed and finalized according to strict deadlines and within budget constraints. This position involves acquiring resources and coordinating efforts among team members and external clients to deliver projects as planned. The Project Manager will also lead cross-organizational initiatives within the Project Management Quality & Support (PMQS) team, focusing on strengthening project management standards, performance monitoring, quality assurance, and continuous improvement. The role emphasizes the use of practical analytics, responsible AI, and automation to reduce administrative burdens and enhance consistency across projects. The Project Manager will create work plans based on defined goals and targets, implementing evidence-based interventions across multiple functional areas and integrating new technologies and practices, including data-driven tools and workflow automation.
Duties and Responsibilities: The Project Manager will lead end-to-end project management, defining scope and deliverables, planning, budgeting, executing, and closing projects while ensuring alignment with organizational strategy. Responsibilities include developing and maintaining project management standards, tools, and standard operating procedures (SOPs). The Project Manager will identify risks and improvement opportunities, leading cross-functional efforts to streamline workflows and enhance performance across teams. They will design and maintain performance monitoring tools, support quality assurance processes, and facilitate effective teamwork. The role also involves delivering targeted learning support, maintaining knowledge resources, and identifying opportunities for responsible AI and workflow automation. The Project Manager will collaborate on process mapping and workflow redesign sessions to identify bottlenecks and translate improvements into SOPs and job aids. Additionally, they will apply appropriate privacy and data protection practices when using AI-enabled tools, consistent with organizational policies.
Required Qualifications: Candidates must possess comprehensive knowledge of project management concepts, practices, and procedures, with strong skills in project and personnel management. The ability to adapt and resolve complex problems is essential, as well as strong negotiation and problem-solving skills. The Project Manager should be able to influence and motivate team members and stakeholders effectively. They must demonstrate the ability to translate project performance data into clear insights for non-technical audiences, utilizing AI to streamline efforts. Familiarity with data visualization and reporting tools, workflow automation tools, and collaboration platforms is required. Practical AI literacy, including awareness of responsible use and the need for human oversight, is also necessary. Excellent oral and written communication skills are a must.
Educational Background: A Bachelor's Degree or its international equivalent in fields such as Business, Knowledge/Information Systems, Communications, Education, Environment, Health, Behavioral, Life/Social Sciences, International Development, Human Development, Data/Analytics, or a related field is required. A Master's degree or its international equivalent is preferred, along with a Project Management (PM) Certification.
Experience: Typically, candidates should have at least 10 years of relevant experience, including a minimum of 3 years in line management roles. Experience in multi-functional/matrix management and implementation is essential, as well as expertise in monitoring and evaluation, strategic planning, capacity building, and team management. Candidates should have a proven track record of strengthening quality and performance in project delivery, developing standards/tools, monitoring metrics, coordinating reviews, and implementing process improvements. Prior work experience in a non-governmental organization (NGO) is preferred.
Languages: Fluency in English is mandatory, with the ability to read, write, and speak proficiently. Proficiency in additional languages is desirable and can enhance a candidate's qualifications for the role.
Additional Notes: This position typically operates in a standard office environment, requiring the ability to spend long hours at a computer and perform repetitive tasks. The role may involve lifting or moving items up to 5 lbs. The expected salary range for this position in the United States is between USD 100,000 and 120,000 annually, with compensation varying based on geographic location and other factors.
