Job Overview: The Senior Executive Assistant position at the World Bank Group is a critical role that involves providing comprehensive support to the director" style="border-bottom: 1px dotted #007bff !important;">Executive Director of the Office of the Executive Director for Albania, Greece, Italy, Malta, Portugal, San Marino, and Timor-Leste. The Senior Executive Assistant will be responsible for managing the overall organization of the office, including schedule management and general office support for all staff members. The role involves interacting with various stakeholders, including senior bank management, government officials, and representatives from the private sector and non-governmental organizations. The successful candidate will be expected to maintain a high level of discretion and professionalism while handling sensitive information and ensuring the efficient functioning of the Executive Director's Office. This position also requires the ability to adapt quickly to the needs of the Executive Director and other stakeholders, as well as organizing events and travel itineraries, preparing meeting programs, and providing research support as needed.
Duties and Responsibilities: The Senior Executive Assistant will have a diverse set of responsibilities, including but not limited to: providing a full range of executive assistance to the Executive Director, serving as the main point of contact for internal and external clients, managing workflow efficiently, preparing and handling sensitive information, organizing events related to the Executive Director's work, ensuring the efficient functioning of the office, following up on inquiries, organizing travel itineraries, preparing meeting programs for high-level officials, maintaining relationships with constituent members, coordinating activities for constituency meetings, providing administrative and logistical support during annual meetings, conducting research, disseminating documentation, arranging meetings with senior management, editing documents, drafting correspondence, maintaining contact lists and filing systems, ensuring an efficient backup system, and supporting all team members. Additionally, the Senior Executive Assistant will act as the Leave and Attendance Coordinator, tracking leave requests and ensuring the team's annual leave schedule is up-to-date.
Required Qualifications: Candidates must possess a high school diploma, with a Bachelor's degree preferred, and at least 10 years of relevant experience. They should have an excellent command of written and spoken English, including the ability to draft formal and informal correspondence independently. Knowledge of Italian is desirable, and familiarity with the constituency countries is a plus. Candidates must demonstrate the ability to work with discretion, possess extensive experience within large organizations, and have a high degree of judgment, tact, integrity, and diplomacy. Effective analytical, research, and problem-solving skills are essential, along with the ability to function under pressure and handle multiple tasks in a fast-paced environment. Strong interpersonal skills, flexibility, and the ability to work in a team-oriented, multicultural environment are also required.
Educational Background: The position requires a minimum of a high school diploma, with a preference for candidates holding a Bachelor's degree. This educational background is essential to ensure that the candidate possesses the necessary skills and knowledge to perform the duties associated with the role effectively.
Experience: Candidates should have at least 10 years of relevant experience, ideally within the World Bank Group or a similar large organization.
