  • The FAO PLO in ROK is dedicated to enhancing country participation in FAO’s strategic framework and programs. It aims to strengthen partnerships and cooperation at national, local, regional, interregional, and global levels. The office collaborates with all FAO HQ divisions, sub-regional and country offices, government agencies, UN agencies, academic institutions, the private sector, and other partners to fulfill FAO’s mandates and objectives.

Job Overview:
The Administrative Support Assistant will play a crucial role in ensuring the smooth functioning of the FAO PLO in ROK by assisting in various administrative, operational, and coordination tasks. This position requires a proactive approach to documentation management, meeting coordination, and correspondence handling. The assistant will support administrative and management processes in accordance with FAO rules and procedures, ensuring that the office operates efficiently and effectively. The role is integral to maintaining the organization’s standards and facilitating communication and collaboration among various stakeholders.

Duties and Responsibilities:
The duties and responsibilities of the Administrative Support Assistant include providing general administrative and office support services such as document processing, filing, and maintaining records in compliance with FAO standards. The assistant will support the organization and coordination of meetings, workshops, and events, which involves logistical arrangements, preparation of materials, and follow-up actions. Additionally, the assistant will handle administrative processes like procurement follow-up, financial reporting, travel arrangements, and coordination with relevant units to ensure smooth office operations. The role also includes providing administrative support for the hiring process of national and international staff, managing contract extensions, and recording leave and attendance. The assistant will compile and organize data for reports and internal documentation, provide logistical support to office staff, manage office assets and vehicles, and perform other related duties as required.

Required Qualifications:
Candidates must meet the following minimum requirements: Secondary School Education, a minimum of one year of relevant experience in administrative, office, or management support work, and a working knowledge (proficiency – level C) of both English and Korean. Additionally, candidates must be nationals of the Republic of Korea or residents in ROK with a valid work permit. FAO core competencies such as results focus, teamwork, communication, building effective relationships, and knowledge sharing and continuous improvement are essential for this role.

Educational Background:
The educational background required for this position is a Secondary School Education. This foundational education is necessary to ensure that candidates possess the basic skills and knowledge required for administrative tasks and office support functions.

Experience:
The position requires a minimum of one year of relevant experience in administrative, office, or management support work. This experience is crucial for understanding the operational needs of the office and effectively contributing to its administrative functions.

Languages:
Candidates must have a working knowledge (proficiency – level C) of both English and Korean. Proficiency in these languages is essential for effective communication within the office and with external partners.
