Job Overview:
The Procurement & Logistics Associate plays a crucial role in supporting the procurement activities for FHI 360 Cameroon. This position is responsible for ensuring that all procurement processes are conducted in accordance with organizational policies and government regulations. The associate will work closely with the Procurement Manager to facilitate the procurement of materials, parts, and equipment necessary for the organization's operations. The role requires a proactive approach to managing purchasing activities, maintaining inventory levels, and ensuring timely delivery of goods and services. The associate will also be involved in monitoring departmental costs and performance metrics to ensure efficient procurement operations. This position is vital for maintaining the flow of resources needed to support FHI 360's mission in Cameroon, particularly in the context of health-related initiatives funded by PEPFAR.

Duties and Responsibilities:
The duties and responsibilities of the Procurement & Logistics Associate include preparing and maintaining purchasing files, reports, and price lists for the department. The associate will assist in developing bid specifications and reviewing requisition orders for accuracy. They will contact suppliers to schedule deliveries and resolve any issues related to shortages or late deliveries. The associate will approve bills for payment, calculate costs of orders, and ensure that invoices are forwarded to the appropriate accounts. Additionally, they will maintain compliance with organizational and government regulations, check shipments for accuracy, compare prices and specifications from suppliers, and maintain documentation of purchase orders. The associate will also interact with internal and external customers to ensure that purchasing activities meet compliance standards. Other responsibilities include conducting internal audits, processing requisitions, evaluating the quality and need for supplies, and consulting with department managers on purchasing needs.

Required Qualifications:
The ideal candidate for the Procurement & Logistics Associate position should possess a high school Advanced Level certificate as a minimum requirement, with a Bachelor's Degree or its International Equivalent in Business Administration or a related field preferred. The candidate should have strong knowledge of procurement methods and procedures, as well as experience in administrative support. Excellent oral and written communication skills are essential, along with proficiency in Microsoft Office and other computer software. The candidate should demonstrate analytical and problem-solving skills, with the ability to work independently and collaboratively with others.

Educational Background:
A high school Advanced Level certificate is required for this position, while a Bachelor's Degree or its International Equivalent in Business Administration or a related field is preferred. This educational background provides the foundational knowledge necessary for understanding procurement processes and administrative functions within the organization.

Experience:
Typically, the position requires at least 3 years of experience in procurement and administrative support. Prior experience in a non-governmental organization (NGO) is preferred, as it provides valuable insights into the unique challenges and requirements of working in the nonprofit sector. The candidate should have a proven track record of managing procurement activities effectively and efficiently.

Languages:
Fluency in French is mandatory for this position, as it is the primary language of communication in Cameroon. Proficiency in English is considered an asset, as it may facilitate communication with international partners and stakeholders.

The expected hiring salary range for this role is XAF 7,000,000 - 9,000,000 annually for gross salary.
