Job Overview: The Finance Assistant will play a crucial role in providing financial and administrative support to the Danish Refugee Council (DRC) and its national partners. This position is essential for ensuring compliance with DRC and donor regulations and procedures, thereby contributing to transparent and accountable financial management. The Finance Assistant will be responsible for daily accounting tasks, managing petty cash, preparing cash counts, and maintaining organized financial records. Additionally, the role involves assisting in the preparation of financial reports, supporting audits, and ensuring that all financial documentation is complete and compliant with established guidelines. The Finance Assistant will work closely with the Finance Manager and local partners to ensure that financial processes are followed accurately and efficiently, ultimately supporting DRC's mission to assist displaced individuals and communities.
Duties and Responsibilities: The Finance Assistant will have a comprehensive set of duties and responsibilities, including but not limited to: Daily accounting and bookkeeping in accordance with the DRC financial handbook; managing petty cash and clearing cash advances as requested; preparing daily and monthly cash counts; maintaining proper filing and archiving of all financial documentation, including vouchers, contracts, and tender documents; transferring payments as needed and following up with partners on their financial reports; correctly utilizing DRC Dynamics functionalities relevant to the role; assisting in the review of partner financial documentation to ensure completeness before submission to the Finance Manager; maintaining organized financial records related to partner-managed grants; collecting, reviewing, correcting, and filing all financial progress reports from national partners, ensuring compliance with agreed templates and timelines; supporting the preparation of financial reports; submitting progress and status reports; following up with partners on missing documentation or clarifications under the guidance of the Finance Manager; maintaining a tracking sheet of partner financial reporting deadlines; providing support to the Finance Manager during project and other relevant audits; assisting in the preparation of partner financial documentation for internal and external audits; and organizing supporting documentation required for partner audit reviews.
Required Qualifications: The ideal candidate for the Finance Assistant position should possess the following qualifications: a minimum of 1 year of relevant work experience, particularly in administrative tasks; experience working with local partners or supporting partner financial documentation is considered an asset; strong communication skills; advanced proficiency in Excel; basic proficiency in PowerPoint and Word; well-developed organizational and planning skills to meet deadlines; and experience in the NGO sector is preferred. Additionally, preferred experience includes familiarity with robust ERP systems and experience with audits.
Educational Background: Candidates must hold a University Degree in Finance, Accounting, Business, or possess an equivalent professional qualification. This educational background is essential for understanding the financial principles and practices necessary for the role.
Experience: The position requires a minimum of 1 year of relevant work experience. Candidates should have experience in administrative tasks and ideally have worked with local partners or in roles that involve supporting partner financial documentation. Experience in the NGO sector is highly valued, as it provides insight into the unique challenges and requirements of working in humanitarian contexts.
Languages: Fluency in Arabic is mandatory for this position, as it is essential for communication with local partners and beneficiaries. Additionally, advanced proficiency in English is required to ensure effective communication and reporting within the organization and with international stakeholders.
