Job Overview: The Intern, Office Clerk position at Save the Children is designed to support the day-to-day administrative operations of the Toronto office. Reporting to the Executive Assistant, the intern will play a crucial role in ensuring smooth office functioning. This includes a variety of tasks such as data entry, file organization, managing office supplies, and assisting in various requests from in-office employees and visitors. The intern will handle confidential information and will be expected to maintain a professional demeanor while interacting with visitors and staff. The role is an excellent opportunity for a post-secondary student to gain practical experience in an administrative capacity while contributing to a meaningful cause.
Duties and Responsibilities: The duties and responsibilities of the Intern, Office Clerk include but are not limited to: preparing, recording, monitoring, and tracking assigned administrative tasks with confidentiality; providing mail and courier support services; liaising with vendors and property management; performing administrative tasks such as arranging meetings, taking minutes, and organizing files; maintaining inventory levels of office supplies and kitchen items; ensuring cleanliness and tidiness of the office and meeting spaces; welcoming visitors courteously and professionally; assisting with event planning and coordination; receiving and routing incoming phone calls; providing excellent customer service; maintaining a neat reception area; contributing to team efforts by achieving goals and targets; and performing additional duties as assigned by management.
Required Qualifications: To qualify for this position, candidates must meet the following criteria: be between 15 and 30 years of age at the start of employment; be a Canadian citizen, permanent resident, or a person granted refugee protection; possess a valid Social Insurance Number; be legally entitled to work in Canada; and be a post-secondary student returning to school in the Fall. International students are not eligible for this position. Additionally, candidates should have customer service experience, excellent communication and interpersonal skills, project management experience, proficiency in MS Office tools, and the ability to work under pressure and meet tight deadlines.
Educational Background: Candidates should be current students enrolled in or recent graduates from an Administrative school program. This educational background is essential to ensure that the intern has the necessary skills and knowledge to perform the administrative tasks required in this role effectively.
Experience: The position requires candidates to have some level of experience in customer service and administrative tasks. While specific years of experience are not mandated, any demonstrated project management experience or relevant internships will be advantageous for applicants.
Languages: The position does not specify mandatory languages; however, proficiency in English is essential for effective communication within the organization and with external stakeholders.
