Job Overview: The position of Consultant is designed to provide administrative and substantial support for the implementation of the Extra Budgetary Project titled 'Information Management and Reporting System (iMARS) for collecting, processing, and reporting on exchange military information.' This project is managed by the Communications and Technology Unit within the OSCE Conflict Prevention Centre. The Consultant will work under the direct supervision of the Senior FSC Support Officer and Project Manager, contributing to the development and maintenance of the iMARS application. The role involves coordinating with various stakeholders, managing data, and supporting training initiatives related to the project. The Consultant will also assist in evaluating the program and fundraising efforts, ensuring that all project-related activities are documented and reported accurately. This position is critical for enhancing the OSCE's capabilities in managing military information exchanges and supporting confidence-building measures among participating States.
Duties and Responsibilities: The Consultant will be responsible for a variety of tasks, including but not limited to: assisting in the development and updating of the iMARS application by coordinating with the project manager and development team; populating the iMARS electronic database with data from current and historical military information exchanges; maintaining electronic and hard copy filing systems; arranging travel and accommodation for OSCE officials and participants; supporting correspondence with donors and partners; assisting in the development of iMARS training courses and E-Learning modules; maintaining an overview of project-related training requests; supporting fundraising activities by preparing promotional materials; gathering and compiling data for project progress reports; monitoring financial expenditures; and performing other related duties as required. The Consultant will also ensure accurate data entry, verification, and quality control of records uploaded to the iMARS database, and contribute to the preparation of internal reference materials and user guidance.
Required Qualifications: Candidates must have completed secondary education, supplemented by relevant training in maintaining and working with e-learning platforms. A minimum of two years of working experience in administrative and project support, managing databases, and clerical work is required. Experience in international organizations, particularly in politico-military issues, is considered an asset. Candidates should demonstrate professional fluency in English, with excellent communication skills, both oral and written. Proficiency in BCMS languages is also advantageous. Additionally, candidates should exhibit gender awareness and sensitivity, with the ability to integrate a gender perspective into tasks and activities. The ability to work with individuals from diverse cultural, religious, and political backgrounds while maintaining impartiality is essential. Proficiency in Microsoft applications is required.
Educational Background: The educational background required for this position includes a High School Diploma or equivalent (GED). Candidates should have relevant training or certifications related to administrative support, project management, or e-learning platforms, which will enhance their ability to perform the duties associated with this role effectively.
Experience: The position requires a minimum of two years of relevant working experience in administrative and project support roles.
