Job Overview:
The coordinator" style="border-bottom: 1px dotted #007bff !important;">Grants Coordinator position is a critical role within the Programme Support Unit (PSU) of NRC Ukraine's overall Programme Unit (PU). This position is primarily responsible for ensuring high-quality proposal and report development, effective grants management, and compliance with donor requirements. The Grants Coordinator will support the coordination of proposal development, reporting, and internal communication processes, ensuring coherence, timeliness, and quality across NRC’s Core Competencies (CCs). These competencies include Information, Counselling and Legal Assistance (ICLA), Shelter & Settlements/WASH, Education, Protection from Violence, and Cash response. The role aims to strengthen systems and standards for proposal development and reporting, ensuring alignment with donor requirements and NRC strategies. The Grants Coordinator will facilitate collaboration across CCs and support functions to enable well-coordinated, evidence-based programming, ultimately providing essential grant management support to the Grants Manager and the Head of Programme Support/Head of Programmes to deliver quality programming in line with the NRC Country Office strategy.

Duties and Responsibilities:
The Grants Coordinator will have a wide range of duties and responsibilities, including adherence to NRC policies, guidance, and procedures while considering NRC global, regional, and country strategies. They will coordinate and support the development of donor proposals, reports, and modifications, ensuring donor compliance and quality control. The role involves maintaining an overview of grants in the portfolio, understanding donor requirements, and ensuring all grant documents are filed according to NRC policy. The Grants Coordinator will support the Grants Manager in improving internal grant management systems and provide an internal help-desk on donor-related issues, including organizing and delivering training on donor rules and regulations. They will follow up on Project Cycle Management (PCM) processes for assigned grants and represent NRC with relevant partners and donors as delegated. Specific responsibilities include organizing Go/No Go meetings for funding opportunities, coordinating proposal development, building relationships with other teams, supporting due diligence assessments, and leading multi-area partnership implementation agreements. The Grants Coordinator will also support the Grant Manager in reviewing donor contracts, summarizing compliance requirements, coordinating Project Review Meetings, drafting donor communications, and ensuring high-quality management of grants through compliance with internal KPIs and deadlines. Additionally, they will assist in training field staff on NRC grants management and maintain standardized information management systems for grant documents.

Required Qualifications:
The position requires at least three years of relevant grants or similar experience in an NGO, particularly in donor relations and grants coordination. Candidates should have experience working with institutional, humanitarian, and development donors, including State Department, CDCS, GFFO, KfW, NORAD, SIDA, and OCHA. A good understanding of donor rules and regulations and their application to projects is essential. Proven skills in independently supporting the development of reports and proposals are required, along with excellent personal organizational skills, including communication, coordination, and interpersonal skills. Candidates must demonstrate strong time management abilities, flexibility, and the capacity to balance multiple tasks and deadlines under pressure. Willingness to travel to area offices and work in challenging environments is necessary, as well as good analytical skills and the ability to mediate in high-stress scenarios.

Educational Background:
Candidates for the Grants Coordinator position should possess a relevant degree in a field related to humanitarian work, international relations, or a similar discipline. A higher degree or specialized training in grants management, project management, or a related area would be advantageous. Educational qualifications should reflect a strong foundation in the principles of humanitarian aid, donor compliance, and project management methodologies.

Experience:
The ideal candidate should have a minimum of three years of relevant experience in grants management or a similar role within an NGO context. Experience working in complex environments, particularly with displaced populations, is highly valued. Familiarity with donor relations and the ability to navigate the intricacies of grants coordination are essential for success in this role. Candidates should also have a proven track record of developing high-quality proposals and reports, as well as experience in training and capacity building of staff in grants management.

Languages:
Fluency in English is mandatory, with excellent written and oral communication skills. Knowledge of additional languages relevant to the operational context of NRC Ukraine would be considered an asset, enhancing the ability to communicate effectively with diverse stakeholders and partners.

Additional Notes:
This position is full-time and may require occasional travel to area offices. The role may involve assuming the responsibilities of the Grants Manager during their absence.
