Job Overview:
The UN Youth Volunteer will play a vital role in supporting the Registrar General’s Department (RGD) in Sri Lanka, specifically in the Colombo and Gampaha districts. The primary function of this position is to assist in the timely clearance of a backlog of data that needs to be entered into the e-Population Registry System. This role is essential for ensuring that delayed records are accurately captured, updated, and integrated into the system, thereby enhancing the reliability and completeness of population data. The volunteer will be responsible for organizing and sorting large volumes of records, ensuring that all data entry is performed with a high degree of accuracy and compliance with established protocols. The position requires regular coordination with RGD officers to ensure that all pending data-entry tasks are processed and completed in a timely manner.

Duties and Responsibilities:
The Data Entry Assistant will have several key responsibilities, including:
  • Entering large volumes of birth registration data into the e-Population Registry System with a focus on accuracy and completeness.
  • Ensuring compliance with established data-entry protocols throughout the data entry process.
  • Coordinating with officers from the Registrar General’s Department at both the Head Office and district levels to facilitate the timely processing of data-entry tasks.
  • Organizing and sorting records to maintain an efficient workflow and ensure that all data is readily accessible for entry.
  • Assisting in the verification of data to ensure that all entries are correct and meet the required standards.
  • Contributing to the overall improvement of data management practices within the RGD.

Required Qualifications:
Candidates for this position should possess the following qualifications:
  • Strong attention to detail and a commitment to accuracy in data entry tasks.
  • Proficiency in using computer systems and data entry software.
  • Ability to work independently as well as collaboratively within a team environment.
  • Good organizational skills to manage large volumes of records effectively.
  • Strong communication skills to liaise with RGD officers and other stakeholders.

Educational Background:
A minimum of a high school diploma is required for this position. Additional qualifications in information technology, data management, or a related field would be advantageous. Candidates with relevant training or certifications in data entry or administrative support will be given preference.

Experience:
While prior experience in data entry or administrative roles is beneficial, it is not mandatory. However, candidates should demonstrate a willingness to learn and adapt to the requirements of the position. Experience in working with government or public health organizations may be considered an asset.

Languages:
Fluency in English is mandatory for this position, as it is the primary language of communication within the organization. Knowledge of Sinhala or Tamil, the local languages of Sri Lanka, would be considered a valuable asset, enhancing communication with local stakeholders and enhancing the effectiveness of the role.

Additional Notes:
This is a National UN Community Volunteer assignment, which means that the volunteer will be responsible for arranging their own housing and other living essentials.
