  • The mission of UNODET is to advise the senior leadership of the United Nations on key trends in technology, guiding the strategic approach taken by the Organization on such issues. UNODET serves as an advocate and focal point for digital cooperation, engaging with Member States, the technology industry, civil society, and other stakeholders. The organization facilitates multi-stakeholder policy dialogue on digital and emerging technologies and strengthens system-wide coordination within and across the United Nations system. Additionally, UNODET supports the follow-up and implementation of the Global Digital Compact, working closely with various UN entities and multi-stakeholder groups to accelerate global digital cooperation and mitigate risks associated with technology, ultimately aiming to achieve the Goals by 203
  • The office is led by the Under-Secretary-General and Special Envoy for Digital and Emerging Technologies, who oversees the implementation of the Secretary-General's vision on digital cooperation and related duties assigned by the Secretary-General, including actions from the Secretary-General's Roadmap for Digital Cooperation and the report 'Our Common Agenda.'

Job Overview:
The Individual Contractor will play a crucial role in delivering timely HR deliverables, which include preparing terms of reference, creating longlists and shortlists for recruitment, scheduling interviews, and tracking new hires. The contractor will also provide timely support to interns and manage well-organized records, including personnel files. The role involves delivering reporting support and coordinating events as needed, as well as ensuring that office equipment is well managed. The contractor will report to the Assistant Programme Management Officer and will be responsible for various HR functions, including recruitment support, selection processes, records management, contract administration, coordination with HR focal points, reporting support, events coordination, and IT coordination for office equipment. This position is expected to last for three months, with the possibility of extension, and is essential for maintaining the efficiency and effectiveness of HR operations within the UNODET.

Duties and Responsibilities:
The duties and responsibilities of the Individual Contractor include:
  • Recruitment Support: Assisting in drafting job descriptions, vacancy announcements, and terms of reference; supporting the publication and dissemination of these across relevant platforms.
  • Selection Processes: Supporting the administration of recruitment processes, including longlisting and shortlisting candidates, scheduling interviews, preparing interview materials, and compiling evaluation documentation.
  • Internship Focal Point: Managing the end-to-end internship processes, which includes announcements, recruitment, and conducting exit interviews.
  • Records Management: Collaborating with programme management to maintain and update personnel files and consultant rosters.
  • Contract Administration: Supporting the preparation, review, and processing of consultancy contracts, extensions, and payment documentation.
  • Coordination: Liaising with HR focal points to ensure timely processing of HR actions and compliance with organizational rules and regulations.
  • Reporting Support: Providing assistance in the preparation and compilation of reports related to grants and programme activities, which involves gathering inputs, organizing documentation, and assisting with formatting and submission in accordance with UN processes.
  • Events Coordination: Supporting the planning and coordination of programme-related events, workshops, and meetings, including logistical preparations, coordination with internal teams and external participants, and preparation of materials. Providing on-site or day-of support to ensure the smooth implementation of events.
  • Office Equipment / IT Coordination: Supporting the coordination of office IT equipment and access, including laptops, email accounts, and system access. Assisting with equipment requests, onboarding and offboarding needs, and liaising with relevant IT focal points to ensure staff have the necessary tools and access for their work.

Required Qualifications:
The required qualifications for this position include a university degree (Bachelor's degree or equivalent) in Human Resources, Business Administration, Finance, Social Sciences, or a related field. Additionally, two years of experience supporting administrative functions, particularly in human resources, is required. Experience within the United Nations or another multilateral organization is also required. Candidates should have demonstrated experience in reviewing resumes for longlisting and shortlisting candidates, as well as drafting terms of reference, which is desired.

Educational Background:
Candidates must possess a university degree (Bachelor's degree or equivalent) in a relevant field such as Human Resources, Business Administration, Finance, Social Sciences, or similar disciplines. This educational background is essential for understanding the complexities of HR functions and administrative support within the context of the United Nations.

Experience:
The position requires two years of experience supporting administrative functions, particularly in human resources. Experience in the United Nations or another multilateral organization is essential, as it provides familiarity with the unique operational and regulatory environment of such organizations. Candidates should also have demonstrated experience in reviewing resumes for longlisting and shortlisting candidates, as well as drafting terms of reference, which is considered a valuable asset for this role.

Languages:
Fluency in English, both oral and written, is required for this position. Knowledge of another official UN language is considered an advantage, as it enhances communication capabilities within the diverse linguistic environment of the United Nations.
