Job Overview: The National UN Volunteer Specialist will be stationed at the IFAD Asia and Pacific Regional Office (APR) in Bangkok, Thailand. This role is crucial for supporting the Corporate Services Department (CSD) in delivering effective administrative and operational services. The incumbent will work under the guidance of the Corporate Services Manager and directly with the Administrative Assistant in the Management Services Division (MSD). The position requires close coordination with the MSD Administrative Pool to ensure efficient management of resources and compliance with internal procedures. The specialist will assist in managing correspondence, providing operational support, and maintaining organized filing systems, both digital and physical. The role also involves supporting travel arrangements, procurement processes, and human resources support, ensuring that all tasks align with IFAD's mission and objectives.
Duties and Responsibilities: The National UN Volunteer Specialist will have a variety of responsibilities, including:
Managing the flow of incoming and outgoing correspondence, emails, and telephone inquiries, ensuring effective communication among team members.
Maintaining organized filing and reference systems in accordance with established practices.
Providing administrative and operational support to ensure effective resource use, including tracking documents and deadlines, monitoring progress on priority actions, and assisting in travel preparations.
Maintaining attendance and leave records, compiling information for briefing notes and other materials.
Supporting field-related administration, including travel arrangements, procurement processes, and human resources support for consultancies.
Assisting the supervisor in preparing draft responses to inquiries, coordinating inputs for complex requests, and ensuring timely submission of reports and documents.
Reviewing draft documents for clarity and adherence to guidelines, preparing correspondence for signature, and providing informal translation of communications as needed.
Performing any other duties as requested by the supervisor.
Required Qualifications: Candidates must demonstrate strong organizational skills, attention to detail, and the ability to manage multiple tasks effectively. Proficiency in using office software and communication tools is essential. The role requires a proactive approach to problem-solving and the ability to work collaboratively within a team. Candidates should possess strong written and verbal communication skills, with the ability to draft clear and concise documents. Familiarity with administrative procedures and practices in an international context is highly desirable.
Educational Background: A minimum of a secondary education is required, with a preference for candidates holding a university degree in business administration, management, or a related field. Additional training or certifications in administrative support or project management would be advantageous.
Experience: Candidates should have at least 1-2 years of relevant experience in administrative or operational support roles, preferably within an international organization or a similar environment. Experience in managing correspondence, organizing documentation, and providing logistical support for travel and procurement processes is highly valued.
Languages: Fluency in English is mandatory, both written and spoken. Knowledge of additional languages, particularly those relevant to the Asia and Pacific region, is considered an asset and may enhance a candidate's application.
