Job Overview:
The Department Manager position within the IRC's External Relations department is designed to provide high-level administrative and operational support to key leadership figures, including the Senior Directors for USA Philanthropy, the Vice President for Philanthropy, Foundations and Trusts, and the Chief Marketing & Mobilization Officer (CMMO). This role is pivotal in ensuring the smooth operation of the Philanthropy team and the Marketing & Mobilization team. The Department Manager will be responsible for complex calendar management, meeting coordination, travel planning, and operational support, which are essential for the effective functioning of these teams. The position requires a proactive approach to managing information flow, supporting team infrastructure, and maintaining key materials that reflect the team's structure and operations. Additionally, the Department Manager will coordinate logistics for staff offboarding and assist in priority projects, ensuring that all activities align with the organization's goals and objectives.

Duties and Responsibilities:
The Department Manager will undertake a variety of duties, including but not limited to:
  • Partnering with and supporting Senior Directors and the Vice President through complex calendar management and meeting coordination.
  • Planning travel arrangements and providing operational support, including expense processing.
  • Overseeing information flow and meeting cadence across teams, including drafting updates and setting agendas.
  • Supporting people operations by managing HR forms, new hire setups, and IT coordination.
  • Managing shared team inboxes and operational accounts, ensuring timely routing and renewals.
  • Providing finance operations support, including vendor onboarding and invoice follow-up.
  • Maintaining and updating key team-wide materials to reflect staffing and structural changes accurately.
  • Coordinating staff offboarding logistics and ensuring timely updates to access and distribution lists.
  • Collaborating with Philanthropy leadership on priority projects and managing action-item follow-ups. 1
  • Supporting meeting preparation, briefings, and fundraising materials as needed.

Required Qualifications:
Candidates for the Department Manager position should possess a range of qualifications, including:
  • A Bachelor’s degree is preferred but not mandatory.
  • At least one year of experience in a fast-paced office environment, with internship experience considered relevant.
  • Preferred experience in a non-profit development department or as an administrative assistant.
  • An interest in pursuing a career in fundraising and experience working with high-net-worth individuals or senior partners is advantageous.
  • Demonstrated skills in managing complex scheduling, proficiency in Microsoft Office, database management, and Adobe Acrobat Pro.
  • A flexible disposition to handle shifting priorities and a can-do attitude.
  • Excellent interpersonal and communication skills, with the ability to interact confidently with various internal and external contacts.
  • Strong attention to detail and the ability to follow guidance accurately.

Educational Background:
The educational background required for this position includes a Bachelor’s degree, which is preferred but not strictly necessary.
