Job Overview: The Program Assistant will play a crucial role in supporting the day-to-day administrative operations of the Program Management Unit (PMU) for the Malaria Mukt Gadchiroli Abhiyan. This position is based at the district headquarters in Gadchiroli and involves a variety of tasks essential for the smooth functioning of the program. The Program Assistant will report directly to the Program Officer and will be responsible for logistics, documentation, scheduling, and coordination tasks. The role requires a proactive approach to support trainings, workshops, and meetings, as well as maintaining accurate records and correspondence. The Program Assistant will also facilitate procurement and travel arrangements, and coordinate with block teams for report consolidation and material dispatch. The ideal candidate will need to be organized, dependable, and capable of multitasking in a dynamic environment, ensuring compliance with administrative protocols while supporting the overall goals of the malaria elimination initiative.
Duties and Responsibilities: The Program Assistant will be responsible for a comprehensive set of duties, including:
Providing logistical coordination for trainings, workshops, field visits, and review meetings, which involves arranging venues, transport, accommodation, and ensuring smooth on-site support for events across district and block levels.
Maintaining minutes records of meetings and events, consolidating project data, and ensuring timely filing and organization of both digital and physical documents to support program reporting and compliance.
Assisting with procurement processes by collecting quotations, maintaining supply records, and supporting logistics.
Handling travel and accommodation arrangements for PMU staff and visiting teams.
Liaising with block-level staff to consolidate reports, collect field updates, and track activity implementation.
Facilitating timely dispatch of supplies and communication materials to field units.
Managing digital files, calendars, and schedules to ensure smooth administrative operations.
Tracking deadlines and supporting compliance with internal systems and documentation standards.
Required Qualifications: The position requires the following qualifications:
A graduate degree in any discipline.
1–3 years of experience in administrative roles, demonstrating the ability to manage various administrative tasks effectively.
Strong skills in MS Office and file management, ensuring that all documentation is organized and accessible.
The ability to multitask and respond to dynamic project needs, showcasing flexibility and adaptability in a fast-paced environment.
Reading and writing knowledge of Marathi is desirable, which will aid in communication and understanding of local contexts.
Educational Background: Candidates must possess a graduate degree in any discipline. This educational background provides the foundational knowledge and skills necessary for effective administrative support within the health program context.
Experience: The ideal candidate should have 1–3 years of relevant experience in administrative roles. This experience should include responsibilities that demonstrate the ability to handle logistics, documentation, and coordination tasks effectively, as well as the capacity to manage multiple priorities in a dynamic work environment.
Languages: The mandatory language for this position is English, as it is essential for documentation and communication within the organization. Additionally, reading and writing knowledge of Marathi is desirable, as it will facilitate better interaction with local stakeholders and enhance the effectiveness of program implementation.
