Job Overview: The Team Assistant position at the World Bank Country Office in Mozambique is designed for a highly organized and energized professional who can operate effectively in a demanding, fast-paced, and culturally diverse environment. The successful candidate will work under the leadership of the Operations Manager and will be supervised by the Senior Program Assistant and respective Cluster Leaders. This role involves providing administrative and client support to Operational Staff across various sectors, coordinated by the Task Team Leader. The position requires frequent interaction with other institutional units, staff in other locations (both locally and internationally), government officials, consultants, and external organizations, making it essential for the candidate to possess strong interpersonal skills and the ability to work collaboratively in a multicultural team environment.
Duties and Responsibilities: The Team Assistant will be responsible for a variety of administrative support tasks, including but not limited to: drafting and formatting routine correspondence such as letters and memos in accordance with institutional and regional standards, ensuring accuracy and quality; providing core support in the implementation of the unit's work program, which may include specialized assistance in areas such as task management, procurement, database management, information technology, and editorial assistance; performing basic analytical and reporting tasks as requested by Task Team Leaders (TTLs); formatting, editing, and quality-checking large and complex documents to ensure compliance with VPU and institutional guidelines; collecting, entering, tracking, and maintaining project and operational data in relevant systems, including project status reporting; tracking and reporting on key aspects of the team’s operational activities; attending meetings, preparing minutes, and ensuring timely clearance and distribution; coordinating closely with CMU colleagues in Maputo, Madagascar, Comoros, Seychelles, and Washington; preparing documents, reports, tables, figures, graphs, and presentations using standard Bank formats and tools; supporting logistical planning and coordination for missions, high-level visits, conferences, workshops, and other events; responding to internal and external inquiries and routing requests to appropriate staff as needed; maintaining accurate distribution lists, contact databases, project and administrative files, and distributing documents to relevant task teams; and serving as backup to other Team/Program Assistants and providing support across the unit as required.
Required Qualifications: Candidates must possess a Diploma in Secretarial Studies, Office Management, or Business Administration, with a University Degree being an advantage. A minimum of three (3) years of relevant experience in a similar role is required, preferably within a large international, service-oriented, or private sector organization. Strong proficiency in standard office and Bank applications, including computers, photocopiers, fax machines, and Microsoft applications, is essential, along with the ability to quickly adapt to new and evolving systems. Knowledge of standard office equipment and basic file and records management systems is also necessary. Excellent command of English (both written and spoken) is required, with the ability to draft and edit routine correspondence and documents accurately, using proper grammar, punctuation, and style. Candidates should demonstrate strong interpersonal skills, a commitment to teamwork, and the ability to work effectively in a multicultural team environment. A willingness to learn, seek guidance from more experienced staff, and continuously improve skills is expected. Candidates must also possess strong organizational and time management skills, with the ability to manage multiple tasks, meet deadlines, and deliver high-quality work under pressure. The ability to follow through on priorities and respond independently in the absence of the team leader is crucial, as is the ability to meet Bank Group recruitment requirements, including passing relevant tests as applicable.
Educational Background: The educational background required for this position includes a Diploma in Secretarial Studies, Office Management, or Business Administration. A University Degree is considered an advantage, indicating a higher level of education and understanding of business operations and administrative functions.
Experience: The position requires at least three (3) years of relevant experience in a similar role. This experience should preferably be within a large international, service-oriented, or private sector organization, demonstrating the candidate's ability to handle administrative tasks effectively in a complex and dynamic environment.
Languages: The mandatory languages for this position are English and Portuguese, with a strong command of both written and spoken forms being essential. Proficiency in these languages will enable effective communication with internal and external stakeholders.
