Job Overview: The Facilities Management Officer will report directly to the Management Services Officer and will be responsible for coordinating, supporting, and delivering effective administrative practices focused on client satisfaction and value for money in the management of facilities. This role is crucial in ensuring that all premises are safe, comfortable, and well-maintained, contributing to the overall efficiency of WFP operations. The incumbent will oversee various services related to facilities management, including maintenance, accommodation services, and environmental management. The position requires a proactive approach to problem-solving and the ability to manage multiple tasks effectively. The Facilities Management Officer will also play a key role in supporting the implementation of operating procedures and improving facility management services across the organization.
Duties and Responsibilities:
Ensure the provision of a range of services, including facilities management, to maintain a safe and comfortable environment in all premises.
Coordinate and manage maintenance teams and services, overseeing repairs and administering external suppliers for office maintenance, cleaning, and supplies.
Manage accommodation services, including tenancy management and reporting on expenditures and revenues.
Process information and support the production of standard documents and reports for effective resource management.
Maintain paper and electronic records in accordance with established procedures, ensuring easy access to data.
Conduct research and analyze data to provide accurate information for resource management.
Serve as the first point of contact for internal queries related to office maintenance and supplies.
Act as the focal point for payments related to all premises.
Monitor energy and water use, waste generation, and management to support environmental initiatives. 1
Contribute to budget management for premises in CO and field offices. 1
Adapt and improve facility management processes and procedures. 1
Collaborate with Head of Field Offices to enhance facility management services. 1
Provide training and guidance on facility management procedures to staff. 1
Support the management of internal and external events and VIP visits. 1
Perform other related duties as required by the Head of Support Services.
Required Qualifications: Candidates must possess a secondary school education, with a post-secondary certificate in a related functional area being desirable. The role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks effectively. Candidates should demonstrate a commitment to WFP's values and mission, and possess the ability to work collaboratively in a diverse team environment. Proficiency in using office software and management systems is essential.
Educational Background: Completion of secondary school education is mandatory. A post-secondary certificate in a relevant field is preferred, indicating a foundational understanding of facilities management and administrative practices.
Experience: Candidates should have at least 6 years of relevant job experience in facilities management or a related field. This experience should demonstrate a strong understanding of administrative processes, facilities maintenance, and client service.
Languages: Fluency in both oral and written communication in English and Portuguese is mandatory. Proficiency in additional languages may be considered an asset, enhancing communication with diverse stakeholders.
Additional Notes: This position is a Fixed-Term contract at G6 level, based in Maputo, Mozambique, with a duration of 6 months.
