Job Overview:
The IT Program Analyst (Regional Coordinator) position is integral to the World Bank Group's Information and Technology Solutions (ITS) team, which plays a crucial role in enabling the organization to fulfill its mission by providing transformative information and technology solutions to staff across more than 130 client countries. The primary purpose of this role is to offer region-wide administrative and client support, facilitating agile delivery and standardizing operations to enhance service quality and promote continuous improvement across all ITSR2 sites. The position requires a proactive approach to managing communications, logistics, and stakeholder engagement, ensuring that the team operates efficiently and effectively in a dynamic environment. The role also involves coordinating various administrative tasks, managing calendars, and supporting procurement and finance activities, all while fostering a collaborative and productive work atmosphere.

Duties and Responsibilities:
The duties and responsibilities of the IT Program Analyst (Regional Coordinator) encompass a wide range of tasks aimed at ensuring smooth operations within the team. Key responsibilities include acting as the regional front-office coordinator by managing shared mailboxes, triaging requests, and standardizing communications across ITSR
  • The role involves scheduling and logistics management, including coordinating multi-country calendars, room bookings, travel arrangements, and regional events. The analyst will prepare agendas, materials, minutes, and follow-ups for meetings, as well as manage complex itineraries, visas, and security" style="border-bottom: 1px dotted #007bff !important;">security clearances. Additionally, the position requires maintaining regional trackers, consolidating reports, and ensuring consistent file organization. The analyst will also provide procurement and finance support by drafting reports, tracking deliveries and invoices, and liaising with various offices to ensure compliance with institutional procedures. Other responsibilities include managing the manager's calendar, preparing meeting materials, serving as a point of contact for stakeholders, coordinating team operations and logistics, and overseeing onboarding and offboarding processes. The role also involves knowledge and document management, communications, planning meetings and events, project support, and contributing to team wellbeing and engagement initiatives. Furthermore, the analyst will participate in process improvement efforts and agile enablement activities, ensuring that workflows are streamlined and effective.

Required Qualifications:
Candidates for the IT Program Analyst (Regional Coordinator) position must possess a minimum of a Bachelor’s degree or equivalent experience. Additionally, they should have 2 to 4 years of experience in administrative or client support roles, particularly within IT service operations, and demonstrate a proven ability to coordinate activities across multiple sites. Preferred qualifications include certifications such as ITIL Foundation and Scrum Master PSM I/CSM (or equivalent). The ideal candidate should exhibit strong client service and communication skills, with a clear and professional command of English and the ability to engage sensitively with diverse offices. Organizational skills and attention to detail are essential, as is a solid technical foundation in M365 and ITIL practices.
