Job Overview: The Transportation Clerk/Driver position is crucial for the effective functioning of the UNDP Country Office in Ukraine. This role involves ensuring the secure and timely transportation of personnel, visitors, and official materials across the country. The incumbent will work under the supervision of the Administrative and Travel Associate, providing dependable and safe driving services while assisting with premises management. The position requires a client-oriented approach, a strong sense of responsibility, and the ability to work effectively with individuals from diverse backgrounds. The Transportation Clerk/Driver will also actively promote gender equality and women's empowerment in all areas of work, reflecting UNDP's commitment to being a gender-responsive organization with zero tolerance for discrimination or abusive conduct.
Duties and Responsibilities:
Driving and Transportation Responsibilities: The incumbent will be responsible for the timely and safe driving of UNDP soft skin and armored vehicles, ensuring adherence to safe driving behavior and Rules of the Road. This includes transporting UNDP employees, consultants, guests, and visitors within the city and to regions, including overnight trips. The driver will also handle the delivery and collection of mails, documents, and equipment as requested by the supervisor, and will meet official personnel and visitors at train stations or airports, ensuring high-quality client services related to field travel.
Vehicle Maintenance and Safety: Daily maintenance tasks will be performed to ensure the assigned vehicle is clean and roadworthy. The driver will maintain daily vehicle logs, ensuring timely submission to the supervisor, and will ensure that repair and maintenance services are conducted promptly. The vehicle must have valid insurance, a first aid kit, and personal protection equipment for all passengers during trips to sensitive areas.
Provide Logistical and Field Support: The incumbent will assist in organizing logistical preparations for field trips and visiting missions, providing comprehensive logistical support, including necessary provisions for large VIP missions. They will also assist in preparing Field Trip Reports to secure security" style="border-bottom: 1px dotted #007bff !important;">security-clearance" style="border-bottom: 1px dotted #007bff !important;">security clearance and will handle light cargo loading and unloading.
Provide Office and Administrative Support: Responsibilities include reviewing records related to in-country missions, maintaining filing systems for administrative and logistics documentation, and supporting the preparation of basic administrative reports. The driver will assist in maintaining registers of assets and office supplies and will support the UNDP/UNDSS Training Unit during training sessions. The incumbent is expected to demonstrate respect for gender equality and address any discrimination encountered.
Required Qualifications: The position requires secondary education and a valid Ukrainian driving license (categories B and C/C1) for driving both soft skin and armored vehicles up to 5,500 kg. While a university degree (Bachelor’s degree) in Business Administration, Social Sciences, or a related field is preferred, it is not mandatory. The candidate must possess a minimum of 4 years of professional driving experience with secondary education or 1 year with a bachelor’s degree. Knowledge of driving rules and regulations, minor vehicle repair skills, and a safe driving record are essential. Proficiency in using computers and office software packages (MS Word, Excel) is also required.
Educational Background: Candidates must have completed secondary education and hold a valid Ukrainian driving license for the specified vehicle categories. A university degree in a relevant field is advantageous but not a strict requirement.
Experience: The role requires a minimum of 4 years of professional driving experience for candidates with secondary education or at least 1 year for those with a bachelor’s degree. Experience in driving armored vehicles, clerical office support, and working with international organizations/projects is highly desirable. Familiarity with protocol and customs matters, as well as experience in conflict-affected areas, will be beneficial.
Languages: Fluency in Ukrainian and English is required for this position. Proficiency in additional languages may be considered an asset but is not mandatory.
