Job Overview: The Business Support Associate plays a crucial role in facilitating the smooth operations of the management front office within WFP. Reporting directly to the director" style="border-bottom: 1px dotted #007bff !important;">Country Director and the Deputy Country Director, the incumbent is expected to coordinate and oversee the planning of activities for the Country Director, assist in daily operations, and ensure that operational objectives are met. This position requires a proactive approach to managing communications, drafting reports, and preparing strategic documents that support the Country Director in meetings and engagements. The Business Support Associate will also be responsible for maintaining strong relationships with various stakeholders, including other UN agencies and NGOs, to ensure effective collaboration and information sharing. The role demands a high level of confidentiality, professionalism, and the ability to work under pressure while managing multiple tasks efficiently.
Duties and Responsibilities: The duties and responsibilities of the Business Support Associate include, but are not limited to: coordinating and overseeing the planning of activities for the Country Director; assisting in daily operations to achieve operational objectives; drafting and reviewing management reports and correspondence; ensuring effective internal communication from the Country Director; preparing high-quality strategic documents and briefs; attending interagency and government meetings with the Country Director; managing the front office functions and staff; addressing staff requests and concerns professionally; liaising with other relevant actors in the Country Office and Headquarters; organizing travel for the Country Director; contributing to the Country Director's social media presence; and performing other related duties as assigned by the Country Director.
Required Qualifications: Candidates must possess strong planning, prioritization, and organizational skills. They should demonstrate excellent interpersonal skills, with the ability to build and maintain relationships and negotiate effectively. Strategic and analytical skills are essential for analyzing information and developing key messages. The ability to work in a fast-paced environment under pressure with tight deadlines is crucial, as is the capacity to plan and organize work with minimal supervision. A strong sense of responsibility, confidentiality, and accountability is also required.
Experience: Candidates should have a minimum of six (6) years of relevant work experience in information management, data collection, and events organization. This experience should demonstrate the ability to handle complex tasks and manage multiple priorities effectively.
Languages: Fluency in both oral and written English and Portuguese is mandatory for this position. Proficiency in additional languages may be considered an asset, enhancing communication with diverse stakeholders.
Additional Notes: This position is a Fixed-Term contract at the G6 level, based in Maputo, Mozambique, with a duration of 6 months.
