Job Overview: The Administrative Assistant position is situated within the Energy Connectivity Section of the Energy Division (ED) at ESCAP. The incumbent will play a crucial role in supporting the implementation of a three-year externally funded initiative known as the Energy Transition for Green Growth and Prosperity project. This role involves close collaboration with staff from both the Energy Division and the Macroeconomic Policy and Financing for Development Division, as well as participation in the internal project steering group overseeing the management of this project. The position requires a proactive approach to office management and administrative support, ensuring efficient operations and communication within the unit.
Duties and Responsibilities: The incumbent will perform a wide range of office management and administrative support functions, including but not limited to: providing direct assistance to senior officers or managers responsible for major programs; maintaining liaison with the Executive Office and senior officials regarding ongoing programs; ensuring smooth information flow within the unit; preparing and processing confidential information; assisting in the development of administrative systems; researching and compiling background materials for reports and briefs; coordinating service-wide activities such as meetings and training; orienting new staff to administrative procedures; attending meetings and preparing minutes; managing correspondence; maintaining internal databases and updating websites; carrying out quality control for outgoing documents; responding to complex information requests; assisting in the preparation of presentation materials; maintaining calendars and schedules; performing various administrative duties; and assisting with data collection and analysis for decision-making purposes.
Required Qualifications: Candidates must possess a high school diploma or equivalent. A first-level university degree may be accepted in lieu of two years of required experience. The position requires a minimum of five years of progressively responsible experience in general office support or a related area. Candidates with a first-level university degree may qualify with three years of experience. Experience in data analytics or a related area is desirable, as is experience within the United Nations Common System or similar international organizations.
Educational Background: The minimum educational requirement for this position is a high school diploma or equivalent. However, candidates with a first-level university degree may be considered in lieu of two years of required experience, which highlights the importance of educational qualifications in relation to practical experience.
Experience: The role requires a minimum of five years of progressively responsible experience in general office support or a related area. If the candidate holds a first-level university degree, a minimum of three years of experience is acceptable. Additionally, one year or more of experience in data analytics or a related area is desirable, as well as experience in the United Nations Common System or similar international organizations, which would provide valuable context and understanding of the UN's operational framework.
Languages: English is the mandatory working language for this position, with a requirement of UN Level II proficiency in reading, writing, listening, and speaking. French is also a working language of the United Nations, but English proficiency is essential for this role. Candidates should refer to the UN Language Framework for specific proficiency levels required for each language skill.
Additional Notes: This position is subject to local recruitment, meaning applicants must be authorized to work for the United Nations in Thailand. Eligible applicants selected from outside the duty station will be responsible for their relocation expenses. Staff members subject to local recruitment are not eligible for allowances or benefits exclusive to international recruitment. The appointment will be a fixed-term appointment limited to the duration of the project, subject to annual renewal based on performance and funding availability.
