Job Overview: The position of Administrative and Logistics Support is crucial for the effective functioning of the Education Sector team in Dili, Timor-Leste. The incumbent will provide essential administrative, logistical, and operational support to ensure the smooth implementation of education programs and projects. This role involves coordinating various activities, managing documentation, and overseeing budgetary and logistical processes. The incumbent will work closely with program and operations colleagues at both country and cluster levels, aligning their efforts with UNESCO's Medium-Term Strategy and the approved Programme and Budget. The position requires a proactive approach to problem-solving and the ability to manage multiple tasks efficiently while maintaining high standards of accuracy and professionalism.
Duties and Responsibilities: The incumbent will be responsible for a wide range of duties, including but not limited to: tracking project and program activities, preparing budgetary data, responding to inquiries, monitoring assigned program/project budgets, and alerting supervisors to any discrepancies. They will support the development of budget proposals and reports, organize outreach activities and special events, and manage the logistics of meetings, workshops, and seminars. The role also includes maintaining and updating program documentation, drafting correspondence, and providing general office assistance. The incumbent will be expected to participate in meetings with partners and stakeholders, prepare for missions, and perform any other duties as assigned by the immediate supervisor or the Director of UNESCO Jakarta Office.
Required Qualifications: Candidates must have completed secondary, technical, or vocational school education. A minimum of five years of relevant practical experience in technical and administrative support in project management, preferably in humanitarian development, is required. Knowledge of general office and administrative support, including policies and procedures, is essential. Proven experience in event organization, procurement, travel arrangements, and budget tracking is also necessary. Strong clerical and administrative skills are expected, along with the ability to work effectively in a team and independently with minimal supervision.
Educational Background: While a completed secondary, technical, or vocational school education is mandatory, a Bachelor's Degree in Administration, Education, Social Human Sciences, or Communication is highly desirable. This educational background will provide the necessary foundation for understanding the complexities of administrative and logistical support within an international organization like UNESCO.
Experience: The position requires a minimum of five years of relevant experience in providing technical and administrative support in project management. Experience in an international or UN organization is highly desirable, as is familiarity with ERP or similar tools. Candidates should demonstrate a strong understanding of administrative processes and the ability to manage multiple tasks effectively.
Languages: A good knowledge of the English language, both spoken and written, is mandatory for this position. Proficiency in additional languages may be considered an asset, particularly if they are relevant to the region or the work of UNESCO.
