Job Overview:
The Executive Assistant position at the World Bank Group is a critical role within the Office of the director" style="border-bottom: 1px dotted #007bff !important;">Executive Director for Austria, Belgium, Czechia, Hungary, Kosovo, Luxembourg, Slovakia, Slovenia, and Türkiye. The successful candidate will be a core member of the Front Office team, providing essential administrative support to the Executive Director, Alternate Executive Director, Senior Advisors, and Advisors. This role requires excellent organizational, administrative, and interpersonal skills, as the Executive Assistant will interact with a diverse range of stakeholders, including senior management, government officials, and representatives from various sectors. The position demands the ability to work under pressure in a fast-paced environment, ensuring the efficient functioning of the office and supporting research-related assignments. The Executive Assistant will be responsible for managing priorities, responding to inquiries, preparing documentation for meetings, and organizing travel itineraries, among other tasks.

Duties and Responsibilities:
The Executive Assistant will be responsible for a comprehensive range of office and administrative support tasks, including but not limited to: serving as an assistant to the Executive Director's office, acting as a point of contact for internal and external clients, managing priorities and workflow, responding to inquiries in a professional manner, preparing documentation for Board Meetings and Committee Meetings, ensuring the efficient functioning of the office, planning operational travel itineraries, preparing meeting programs for high-level officials, accompanying the Executive Director to Annual Meetings, arranging meetings with Senior Bank Management, organizing events related to the Executive Director's work, drafting letters and memoranda, maintaining contact lists and filing systems, ensuring an efficient backup system, and supporting the planning and preparation of meeting materials.

Required Qualifications:
Candidates must possess an undergraduate degree and have at least 7 years of relevant experience. They should demonstrate advanced working skills in multiple computer software applications, exceptional communication skills in English and either Dutch, French, or German, and a high standard of accuracy and attention to detail. Excellent administrative and organizational skills are essential, along with the ability to interact effectively with clients at all levels. Knowledge of World Bank Group administrative procedures is preferred, as is the ability to handle sensitive matters with discretion. Candidates should also have experience working under pressure and managing concurrent activities, as well as proficiency in relevant computer software and systems.

Educational Background:
An undergraduate degree is required for this position, providing a foundational level of education necessary for the administrative and organizational tasks expected of the Executive Assistant. The degree should ideally be in a relevant field that supports the functions of the role.

Experience:
Candidates should have a minimum of 7 years of relevant experience in administrative support or a similar role. This experience should demonstrate the ability to manage multiple responsibilities, work under pressure, and maintain high standards of accuracy and professionalism in a fast-paced environment.

Languages:
The mandatory language requirement for this position is proficiency in English, along with either Dutch, French, or German. Candidates should be able to draft correspondence and documents in these languages. Additional language skills may be considered an asset but are not required.

This position is a full-time role with a term duration of 2 years. It is important to note that preference will be given to local talent, meaning applicants must be authorized to work in the duty station for any employer. The role requires a commitment to being present in the office during regular business hours, with the possibility of extended hours and weekend work as needed.
