Job Overview: As a Supply Chain Assistant at DRC Syria, you will play a crucial role in supporting the Humanitarian Mine Action program by providing administrative and technical logistics and procurement assistance. Your responsibilities will include tracking orders from planning to receipt, preparing procurement documents, participating in bid evaluations, and ensuring compliance with technical specifications. You will also be involved in verifying procured goods, maintaining asset records, overseeing warehouse deliveries, and applying ERP supply chain processes. Additionally, you will assist with fleet management tasks, including updating vehicle schedules and compiling fuel consumption reports. This position requires a proactive approach to ensure efficient supply chain operations and effective communication with warehouse staff and partner organizations.
Duties and Responsibilities: Your primary duties and responsibilities will include:
Administration: - Track all orders from planning to final receipt. - Prepare procurement documents for goods and services. - Participate in bid evaluations and ensure reports contain necessary information. - Verify procured goods and equipment for conformity to specifications. - Maintain accurate records of all assets, both old and new. - Perform physical asset checks. - Oversee deliveries and dispatches from DRC warehouses, ensuring proper documentation. - Maintain communication with warehouse staff in other locations and partner organizations. - Correctly apply ERP supply chain processes.
Fleet Management: - Assist with fleet management tasks as needed. - Update daily vehicle movement schedules and records. - Assign mechanical transport as required. - Compile regular fuel consumption reports and monthly vehicle utilization analyses. - Perform any other tasks assigned by the Operations Manager.
Required Qualifications: To be considered for this position, you must meet the following qualifications: - Minimum of 1 year of relevant work experience in supply chain management or related fields. - Experience in administrative tasks, including maintaining filing systems. - Excellent IT skills, particularly in operating an ERP supply chain system. - Familiarity with standard procurement procedures and documentation. - Strong organizational skills and attention to detail. - Ability to work effectively in a team and communicate with various stakeholders.
Educational Background: The educational background required for this position includes: - A valid manual driving license. - A diploma or equivalent professional qualification in a relevant field such as logistics, supply chain management, or business administration.
Experience: The ideal candidate should have at least 1 year of relevant work experience, particularly in administrative roles related to supply chain management. Experience in procurement, transport, distribution, and warehouse management is essential, along with familiarity with standard procurement procedures and documentation.
Languages: Fluency in English is mandatory, with proficiency in speaking, reading, and writing. Additionally, fluency in Arabic is also required, ensuring effective communication within the local context and with stakeholders.
