Job Overview: The Logistics Associate (Billing and Reconciliation) position at WFP is crucial for supporting the administrative, financial, and operational functions related to the Cash-Based Transfers (CBT) Retail portfolio. The incumbent will work under the direct supervision of the Supply Chain CBT & Markets Officer, playing a key role in ensuring effective management of supply chain resources. This position involves coordinating with various stakeholders, preparing and routing documentation, processing invoices, managing sales and price data, and ensuring timely data entry into corporate systems. The role is designed for individuals who are detail-oriented, possess strong organizational skills, and are capable of working in a fast-paced environment. The successful candidate will be expected to contribute to the overall efficiency of the supply chain operations and support the achievement of WFP's mission to provide food assistance to those in need.
Duties and Responsibilities:
Lead the processing of financial and administrative tasks to ensure effective and timely management of Supply Chain resources.
Manage retailer invoice workflows by receiving, reviewing, validating, and submitting invoices to the Finance Unit within agreed timelines, and follow up on payment processes to ensure adherence to schedules.
Coordinate the timely collection of reconciliation reports and supporting documentation from retailers, cooperating partners, and internal units; ensure the reconciliation team consistently follows up to maintain monthly cycles.
Prepare, consolidate, and circulate monthly reconciliation reports to relevant stakeholders.
Maintain regular sales data from contracted retailers, conduct basic analysis of commodity-wise sales volumes, and use findings to inform operational planning and market performance assessments.
Monitor the performance of contracting retailers, oversee shop expansion, and adapt supply chain operations to specific environments.
Establish, classify, and maintain the unit’s file archive system in line with WFP document retention standards.
Supervise and provide guidance to the Retail Billing Assistant, offering training, practical advice, and support to ensure objectives are achieved to agreed standards and deadlines.
Coordinate operational monitoring of shops, develop and implement monitoring tools, and build the capacity of the retail field monitoring team. 1
Track shop compliance against contractual agreements, oversee lease agreements, and ensure implementation of contracts, SOPs, and operational guidelines at all retailer outlets. 1
Provide guidance to cooperating partners on WFP operational practices, monitoring tools, and methods to support self-monitoring tasks and enhance WFP’s visibility in coverage areas. 1
Consolidate and report monthly outcomes from monitoring tools to stakeholders and concerned units. 1
Build the capacity of Retail Monitoring Assistants, FMAs, and cooperating partners in retail expertise, identifying performance gaps and developing training and capacity-building materials for both internal and external stakeholders.
Required Qualifications: Candidates must possess a University Degree (Bachelor's or equivalent) in Logistics, Supply Chain, Business Administration, or any relevant field. The role requires a strong understanding of supply chain management principles and practices, as well as proficiency in financial and administrative processes. Candidates should demonstrate the ability to work collaboratively with diverse teams and stakeholders, possess excellent communication skills, and have a proactive approach to problem-solving. Additionally, familiarity with corporate systems and data management is essential for success in this role.
Educational Background: A completion of a University Degree (Bachelor's or equivalent) is required for this position. Education in Logistics, Supply Chain, Business Administration, or any relevant field is preferable, as it provides the foundational knowledge necessary for managing supply chain operations effectively. Candidates with advanced degrees or specialized training in these areas may have an advantage in the selection process.
Experience: The position requires at least 6 years of overall experience in areas related to Supply Chain or other relevant fields. This experience should include a demonstrated ability to manage financial and administrative tasks, coordinate with various stakeholders, and maintain corporate systems. Candidates with experience in contract administration, budget monitoring, and reporting will be particularly well-suited for this role. Experience in humanitarian or development contexts is also desirable, as it aligns with WFP's mission and operational environment.
Languages: Fluency in both spoken and written English and Bangla is mandatory for this position. Proficiency in additional languages may be considered an asset, particularly if they are relevant to the operational areas where WFP is active. Strong communication skills in both languages are essential for effective collaboration with diverse stakeholders and for ensuring accurate reporting and documentation.
Additional Notes: This position is classified as a Service Contract with a duration of 12 months, based in Cox's Bazar, Bangladesh. The role is open to Bangladeshi Nationals only.
