Job Overview:
The Programme Assistant position at UN Women is crucial for supporting the Philippine Programme Presence Office, particularly focusing on the joint programme Zero Hunger Accelerator (JP ZHA). This programme aims to strengthen inclusive, climate-resilient food systems in the Philippines by mobilizing innovative local and blended financing. The Programme Assistant will report to the Operations Associate and work closely with the Programme Officer for JP ZHA. The role involves providing comprehensive programme, administrative, and logistical support to ensure effective implementation of the programme in alignment with UN Women’s rules and regulations. The Programme Assistant will play a key role in facilitating the smooth operation of the programme, ensuring that all administrative tasks are handled efficiently and effectively, thereby contributing to the overall success of the initiatives undertaken by UN Women in the region.

Duties and Responsibilities:
The Programme Assistant will be responsible for a variety of tasks, including:
  • Providing administrative and logistical support for the formulation and management of programmes, which includes preparing work plans, budgets, and proposals, tracking fund delivery, and supporting audit processes.
  • Assisting in the financial management of the Programme Unit by creating projects in the Quantum system, preparing budget revisions, and processing payments for consultants.
  • Organizing logistical arrangements for meetings, workshops, and events, including travel arrangements for the Programme Team and drafting meeting minutes.
  • Supporting resource mobilization efforts by compiling documentation and information from donors and the programme team.
  • Facilitating knowledge building and sharing by organizing training sessions for office personnel and partners.
  • Performing other duties as necessary for the efficient functioning of the office and the organization.

Required Qualifications:
Candidates must possess a completion of secondary education as a minimum requirement. A Bachelor’s degree in business or public administration is desirable. Additionally, candidates should demonstrate strong administrative skills, particularly in programme management and financial oversight. Proficiency in managing data, documents, and correspondence is essential, along with good financial and budgeting skills. Familiarity with IT systems and the ability to present information clearly are also important qualifications for this role.

Educational Background:
The educational background required for this position includes at least a completion of secondary education, with a preference for candidates holding a Bachelor’s degree in business or public administration. This educational foundation is crucial for understanding the administrative and operational aspects of programme management within UN Women.

Experience:
Candidates should have at least 5 years of progressively responsible experience in administrative or programme management/support roles. Experience in a computer environment using multiple office software packages is required, and familiarity with ERP systems, particularly Oracle Cloud, is desirable. Additionally, experience in supporting a team is considered an asset, as it demonstrates the ability to work collaboratively and effectively within a team setting.

Languages:
Fluency in English and Filipino is required for this position. Knowledge of another official UN language, such as French, Arabic, Chinese, Russian, or Spanish, is considered desirable and may enhance a candidate's profile.
