Job Overview: The position of Administrative and Logistical Support is crucial for the effective functioning of the WHO Country Office in Syria. The incumbent will be responsible for providing comprehensive administrative and logistical support, particularly in the areas of travel arrangements, visa and protocol services, and coordination with government and diplomatic entities. This role is essential for ensuring smooth operations for WHO staff and official visitors, thereby facilitating the organization's mission to improve health outcomes in Syria. The successful candidate will be expected to manage travel logistics efficiently, maintain compliance with WHO regulations, and foster effective communication with various stakeholders to support the organization's objectives.
Duties and Responsibilities: The incumbent will perform a variety of duties, including but not limited to:
Travel Coordination: Arranging official travel for staff, consultants, and meeting participants, which involves booking flights, accommodations, and ground transportation. Preparing travel authorizations and processing travel claims in accordance with WHO rules and procedures. Liaising with travel agencies and service providers to ensure cost-effective and timely arrangements.
Protocol Services: Coordinating with government ministries, embassies, and airport authorities to facilitate visa issuance, customs clearance, and protocol arrangements. Assisting in organizing official receptions, high-level visits, and ceremonial events. Ensuring compliance with host country agreements and diplomatic protocols.
Administrative Support: Maintaining and updating databases related to travel, visas, and protocol matters. Drafting correspondence, reports, and briefing notes related to travel and protocol. Monitoring travel budgets and preparing periodic reports on travel expenditures.
Liaison and Coordination: Serving as the focal point for travel and protocol inquiries within the office. Coordinating with internal departments and external stakeholders to ensure smooth execution of travel and protocol activities.
Other Duties: Providing backup support to other administrative staff as needed and performing other related duties as assigned by the supervisor.
Required Qualifications: The ideal candidate should possess strong organizational and time management skills, along with a solid understanding of travel booking systems and UN/WHO travel rules. Familiarity with diplomatic and protocol procedures is essential. Excellent communication and interpersonal skills are required, as well as the ability to work under pressure and handle confidential information. The candidate should demonstrate a commitment to teamwork and respect for individual and cultural differences.
Educational Background: The minimum educational requirement for this position is the completion of secondary school education. Additional training in administration, travel, or protocol is desirable. Candidates who have completed advanced training in travel management will be given preference, as this will enhance their ability to perform the duties effectively.
Experience: Candidates must have at least 5 years of relevant experience in administrative support, specifically in travel and protocol services. Experience with UN Agencies and international organizations is preferred, with at least two years dedicated to managing business travel. This experience will ensure that the candidate is well-versed in the complexities of travel logistics and protocol requirements.
Languages: Proficiency in English and Arabic is mandatory, with expert-level skills in reading, writing, and speaking both languages. This bilingual capability is crucial for effective communication within the organization and with external stakeholders.
Additional Notes: The position offers an attractive remuneration package, including an annual net base salary starting at USD 14,831, subject to mandatory deductions for pension contributions and health insurance.
