The WHO Division of Health Emergencies (WHE) plays a crucial role in building the capacity of Member States to manage health emergency risks and coordinate international health responses to outbreaks and emergencies.
Job Overview: The National UN Volunteer Specialist will assist the HR team in facilitating and coordinating HR administrative recruitment processes in compliance with WHO rules and regulations. This role involves supporting the recruitment of Fixed-Term and Temporary Staff across all categories, pre-screening candidates, organizing meetings and logistics for selection panels, and ensuring that all documentation is complete. The specialist will also be responsible for initiating the onboarding process for new hires, maintaining and updating internal HR databases, and supporting the HR team in various administrative activities. The position requires a proactive approach to ensure timely completion of recruitment processes and effective communication with applicants and HR managers.
Duties and Responsibilities:
Facilitate and coordinate HR administrative recruitment processes in compliance with WHO rules and regulations, including activities related to the recruitment of Fixed-Term and Temporary Staff.
Pre-screen candidates' recruitment profiles as necessary.
Organize meetings and teleconferences with selection panels, ensuring all logistics are in place and documentation is complete.
Support arrangements for interviews and online testing, including scheduling and monitoring.
Assist applicants under selection by providing timely and accurate information.
Maintain HR tables for tracking HR-related processes.
Initiate onboarding processes and follow up with applicants to ensure timely completion.
Maintain and update internal databases and files on HR matters confidentially.
Support HR team members in the consultants' clearance process and other administrative activities. 1
Cooperate with the admin assistant to ensure compliance of the WHO CO mailing list. 1
File HR documentation online on the shared drive. 1
Perform any other duties as requested by HR managers.
Required Qualifications: Candidates should possess strong organizational skills, attention to detail, and the ability to work collaboratively within a team. Proficiency in HR administrative processes and familiarity with WHO policies and guidelines are essential. The ideal candidate should demonstrate integrity, professionalism, and respect for diversity. Excellent communication skills are also required to effectively interact with applicants and team members.
Educational Background: A degree in Human Resources, Business Administration, or a related field is preferred. Additional certifications in HR management or related areas would be advantageous.
Experience: Candidates should have a minimum of 1-2 years of experience in HR administration or a related field. Experience working in an international organization or within the UN system is highly desirable. Familiarity with recruitment processes and HR policies is essential.
Languages: Fluency in English is mandatory. Knowledge of Ukrainian or Russian is an asset, as it will facilitate communication with local stakeholders and applicants.
Additional Notes: This is a national UN Volunteer assignment, and the volunteer is responsible for organizing their own accommodation. The contract is full-time and lasts for the duration indicated in the vacancy, with the possibility of extensions based on funding availability and performance. The monthly Volunteer Living Allowance (VLA) is USD 1690, which covers housing and living expenses. Additional benefits include medical and life insurance coverage, annual leave, learning leave, and sick leave entitlements.
