Job Overview:
The Visa Application Assistant will work under the direct supervision of the Senior Project Associate (Quality Control Monitoring) and will be responsible for streamlining visa application services specifically for German family reunification, resettlement, and evacuation cases. The role involves daily interaction with beneficiaries at the Family Assistance Program (FAP) Center, managing their files, and ensuring that visa applications are processed efficiently. The assistant will handle data entry into Dynamics 365, manage biometric data collection, and ensure that all files are complete and accurately tracked. This position requires a strong focus on detail and adherence to established Standard Operating Procedures (SOPs) to maintain the integrity of the application process. The assistant will also conduct interviews to gather necessary biographical information and ensure that all documentation meets donor requirements.

Duties and Responsibilities:
The Visa Application Assistant will have a comprehensive set of responsibilities including: assisting beneficiaries with their visa applications, managing case files, entering data into the FAP case management software, organizing family reunification appointments, and ensuring that all application documents are lodged in the correct order. The assistant will also be responsible for providing accurate information to migrants, handling inquiries, maintaining records of applications, and reporting on the status of cases. Additionally, the role involves coordinating with various departments, maintaining confidentiality, and ensuring compliance with IOM standards. The assistant will also be tasked with training new staff members and may need to travel to support other offices as required.

Required Qualifications:
Candidates must possess a university degree in Business Management, Client Services, Social Science, Engineering Science, or a related field with at least three years of relevant experience. Alternatively, a high school diploma with five years of relevant experience is acceptable. The role requires a demonstrated ability to maintain accuracy and confidentiality in all responsibilities, as well as strong organizational skills and attention to detail. Candidates should also have a solid understanding of IOM's values and competencies, including teamwork, accountability, and communication.

Educational Background:
The educational background required for this position includes a university degree in a relevant field such as Business Management, Social Science, or Engineering Science. Candidates with a high school diploma may also be considered if they have significant relevant experience. The educational qualifications should reflect a strong foundation in areas pertinent to client services and case management.

Experience:
A minimum of three years of relevant professional experience in a similar setting is preferred. Candidates should have experience in case management, data entry, and working with vulnerable populations. The ability to maintain confidentiality and accuracy in handling sensitive information is crucial. Experience in a multicultural environment and familiarity with migration issues will be advantageous.

Languages:
Fluency in English is mandatory, and knowledge of German or other languages relevant to the migrant population would be considered an asset. The ability to communicate effectively with diverse groups is essential for this role.

Additional Notes:
This position is subject to local recruitment, and only candidates with a valid residence and work permit for Pakistan will be considered. The appointment is contingent upon medical fitness certification and verification of residency and visa requirements. The IOM has a zero-tolerance policy regarding misconduct and discrimination. The selection process may also be used to fill similar positions in various duty stations, and recommended candidates will remain eligible for appointment for 24 months.
