Job Overview: The Finance/Accounts Officer plays a crucial role in managing the financial transactions, reconciliations, and reporting for FHI 360 Nepal. This position is responsible for ensuring compliance with organizational policies, donor agreements, and statutory and regulatory requirements. The officer will process payments, review invoices and travel claims, maintain accounts, support audits, and provide timely financial information to assist management in decision-making. The role requires a proactive approach to managing multiple tasks and working collaboratively in a virtual environment, adapting to different time zones as necessary. The Finance/Accounts Officer will also be involved in developing financial reports and ensuring the proper functioning of the accounting systems used by FHI 360.
Duties and Responsibilities: The key responsibilities of the Finance/Accounts Officer include reviewing vouchers and invoices submitted to FHI 360 Nepal to verify that items claimed are in accordance with agreements and have been delivered or performed. The officer will process payments using the Digital Process Automation (DPA) system and the Global Finance and Administration System (GFAS). They will prepare and review wire payment details for payees in the online banking system, ensuring accuracy in accounts maintained in the Straight to Bank (S2B) system. Monthly and quarterly financial reports will be developed for submission to the FHI 360 Asia Pacific Regional Hub and Headquarters. The officer will prepare monthly bank reconciliation statements and balance sheet reconciliations for the monthly closing of GFAS, ensuring timely submission of reports with all supporting documents. They will also manage payments and reimbursements for consultants and implementing partners, review travel claims for compliance with travel authorizations, and assist in internal and external auditing functions. Other related duties may be assigned by the supervisor or the Associate Director of Finance and Grants/Contracts or the Country Representative.
Required Qualifications: Candidates must possess a Bachelor’s degree in accounting, finance, or business management, along with at least three years of relevant work experience. A master’s degree in a related field is preferred. The ideal candidate should have excellent knowledge and experience with accounting and financial systems, particularly computerized accounting systems. Familiarity with donor compliance and financial regulations, especially in relation to USG or similar donor-funded projects, is essential. The candidate should demonstrate the ability to assist in audits, prepare and analyze financial reports, and manage multiple tasks effectively in a virtual work environment. Strong interpersonal, organizational, communication, team-building, and problem-solving skills are also required, along with good verbal and written skills in both English and Nepali.
Educational Background: The educational background required for this position includes a Bachelor’s degree in accounting, finance, or business management. A master’s degree in a related field is preferred, indicating a higher level of expertise and understanding of financial management principles and practices.
Experience: The position requires at least three years of relevant work experience in finance or accounting roles. Candidates with experience in donor-funded projects and familiarity with compliance and financial regulations will be given preference. The ability to prepare and analyze financial reports, cash flow projections, and reconciliations is crucial for supporting management decision-making.
Languages: Proficiency in both English and Nepali is mandatory, with strong verbal and written communication skills required for documentation and reporting purposes. Additional language skills may be considered an asset but are not mandatory.
